Job Description
Reception
- Manage the reception counter at the school's General Office in accordance to MOE's and the school's operating procedures, rules, and regulations.
- Keep the reception counter clean, tidy and presentable and maintain the necessary stationery, forms and material at the counter.
- Perform customer service role in answering, screening, forwarding or taking down messages of incoming phone calls in a polite, respectful and professional manner.
- Provide customer service support to walk-in students, teachers, parents, visitors and school stakeholders in a polite, respectful and professional manner with care and empathy.
- Attend to unwell or injured students and render first aid if needed.
- Contact parents of unwell students to be taken home or students who have been absent from school.
- Maintain the sick bay including first aid supplies
- Administer lost and found items and maintain records.
- Maintain safety and security by directing visitors, including contractors, delivery men, parents, etc to wait at the designated waiting area and call relevant staff to meet or pick them up.
- Liaise and work with the Security Officer to ensure that approval is granted by school before any student is allowed to leave school early.
General Administration
- Handle general office administrative tasks such as receiving and directing of incoming mails/packages and goods, managing and distributing notifications and letters to teachers trays, filing, collating and printing of documents.
- Attend to outgoing and incoming faxes.
- Maintain the mail trays and form trays in the General Office.
- Monitor and collate submission of forms by students.
- Pack and distribute information, posters, leaflets etc. for students and teachers.
- Support in sign-in and sign-out of coaches and instructors and relief teachers attendance.
- During off-peak period, support back-end Admin in general admin work.
- Support housekeeping for admin office and stores.
- Assist in data entry, record keeping and filing of documents.
- Support school events and any duties as assigned by school.
Job Requirement
- GCE O Level/N Level. Qualities of Personnel
- Good communication and interpersonal skills.
- Warm personality with good customer service skills and telephone etiquette skills.
- Able to work independently.
- Good team player with initiative.
- 1 year's experience in reception / customer service.
- Possess a basic proficiency in MS Office (Word, Excel).
- Experience with administrative work using MS Office would be advantageous.
- Relevant working experience in a school setting would be advantageous
