Job Description

Position: Admin Assistant
  • Location: Various locations
Reports to: CEO
  • Job Summary:
We are seeking a dedicated and organized Admin Assistant to join our team. The ideal candidate will assist with daily operations, sales, enrollment, customer service, and handle various administrative tasks. This role is crucial in ensuring the smooth running of our centre and providing excellent service to our students and their parents.
  • Key Responsibilities:
  • Daily Operations:
Manage daily administrative tasks to ensure smooth functioning of the tuition centre.
  • Maintain cleanliness and organization of the reception and common areas.
Assist in the preparation and organization of teaching materials.
  • Coordinate and schedule classroom usage and ensure facilities are well-maintained.
Monitor and manage office supplies inventory, placing orders as needed.
  • Sales and Enrollment:
Handle student enrollments and manage the enrollment database.
  • Assist in promoting courses and programs offered by the centre.
Provide information to potential students and parents about available courses and schedules.
  • Track enrollment numbers and generate regular reports for management review.
  • Customer Service:
Greet and assist students, parents, and visitors in a friendly and professional manner.
  • Respond promptly to inquiries via phone, email, and in person.
Address and resolve any issues or concerns raised by parents or students.
  • Build and maintain positive relationships with students and parents.
  • Dealing with Enquiries:
Answer phone calls and emails, providing accurate information about the centre's programs and policies.
  • Follow up on inquiries and ensure all questions are adequately addressed.
Schedule and conduct centre tours for prospective students and parents.
  • Administrative Support:
Assist in the preparation of reports, newsletters, and other communications.
  • Maintain accurate and up-to-date student records and files.
Support the CEO with various administrative tasks as needed.
  • Assist in the coordination of staff schedules and timesheets.
  • Event Coordination:
Assist in the planning and execution of centre events, workshops, and activities.
  • Coordinate logistics for events, including setup, materials, and registration.
  • Qualifications:
Minimum Diploma or equivalent.
  • Previous experience in an administrative or customer service role preferred.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
Proficiency in Chinese is a plus, as the role involves interacting with Chinese-speaking parents.
  • Working Hours:
Monday to Wednesday, 12:00 PM to 8:00 PM
Saturday and Sunday, 10:00 AM to 8:00 PM
