Job Purpose:
The Admin Assistant(Nursing) will provide comprehensive administrative support to the nursing department at RCHD. This role involves managing clerical tasks, coordinating schedules, maintaining records, and facilitating communication within the department to ensure smooth operations and enhance resident care services.
Key Responsibilities:
Clerical Support:
- Perform general office duties, including answering phones, handling correspondence, and filing documents.
- Maintain accurate and up-to-date resident records, ensuring confidentiality and compliance with relevant regulations.
Scheduling & Coordination:
- Assist in scheduling appointments, meetings, and training sessions for nursing staff.
- Scheduling of medication and therapeutic milk supplies.
- Coordinate with RCHD transport for residents appointments to ensure timely and safe transportation.
- Coordinate the flow of information between nursing staff, residents, families, and other departments.
Communication:
- Act as a liaison between nursing staff and other departments, responding to inquiries and providing information as required.
- Distribute memos, bulletins, and other communications to nursing staff and ensure timely updates.
Inventory Management:
- Assist in monitoring and ordering office and nursing supplies, maintaining inventory levels as needed.
Support for Special Projects:
- Assist with special projects and initiatives within the nursing department, including quality improvement efforts and staff training programs.
Qualifications:
Education:
- Minimum of GCE O Levels or equivalent
Experience:
- Previous experience as an administrative assistant, preferably in a healthcare setting, is highly desirable.
Skills:
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written.
- Proficiency in Google Suite.
- Ability to maintain confidentiality.
