Job Description

Job Overview:

We are seeking a highly organized and motivated Admin Executive to join our Business Development (BD) team. The ideal candidate will have a strong administrative background, excellent organizational skills and some experience or aptitude in design. This role involves supporting the team with administrative tasks while also contributing to design related projects that enhance our business development efforts.

Responsibilities:

Administrative Support:

  • Manage the daily administrative tasks of the BD team.
  • Organize and schedule meetings and events arrangements for team members.
  • Prepare and process documentation, including reports, presentations, and correspondence.
  • Maintain and organize files and records in both physical and digital formats.
  • Assist with the preparation of business proposals, contracts and client presentations.

Design Assistance:

  • Support the creation of business materials, presentations and other related content.
  • Provide creative input for promotional materials and BD projects.

Project Coordination:

  • Help manage and track the progress of various BD initiatives and projects.
  • Facilitate communication between team members and stakeholders.
  • Prepare reports on project status, milestones, and deliverables.

Client and Vendor Management:

  • Maintain professional relationships with clients, vendors, and partners.
  • Assist in scheduling and coordinating client meetings and events.
  • Handle client inquiries and provide exceptional service.

Qualifications:

  • Minimum Bachelor's degree in Business Administration/Marketing or a related field.
  • Proven experience in an administrative role, ideally within a BD or design context.
  • Experience with CRM software and BD platforms.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling software (e.g., Outlook).
  • Experience with design software (e.g., Adobe Photoshop, Canva) is preferred.
  • Excellent organizational and time management skills.
  • Outstanding communication and interpersonal abilities.
  • Attention to detail and problem-solving skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Willingness to learn and adapt to new technologies and methodologies.
