Key Duties and Responsibilities
As a member of the DCAS team, you are expected to perform office administration duties to ensure that Singapore DCAS operates effectively and serves as a reference model for Southeast Asia DCAS.
- Complies with Procurement policy and SOPs for all stages of purchasing procedures with timely and accurate entries in purchasing systems as well as performing goods receipts including updates of Purchase Orders and Asset listings.
- Maintain, input and update PO trackers, Customer Acceptance Form tracker etc.
- Assist to escort and manage the soft facilities, deliveries, pest control etc.
- Coordinate security/vehicle access clearance for deliveries and notify the requestors.
- Coordinate with a team of cleaners on their duties to ensure building/compound cleanliness.
- Perform site checks on building/compound cleanliness.
- Participate in weekly site walks with Operations and preparatory visits for VIPs.
- Take charge of meeting rooms bookings and ensure the meeting rooms conditions are in tip-top condition. Handle replenishments of meeting room beverages, prepare and set up the meeting rooms for visitors, assist DCAS Manager to order snacks at times.
- Consolidate TAC stationery requests for stock replenishments, issuance and deliveries etc.
- Responsible for stock take and the replenishments of the pantry supplies, pantry cleanliness including appliances such as the fridge, microwave, vending machines, etc.
- Assist on Company Emergency Response, Fire Drill, Pandemic Flu logistics and administrations.
- Order and replenishments First Aid Boxes/AED machine supplies/consumables
- Maintain Building Contact list (new joins and exits), Emergency evacuation list, etc for dissemination to the whole team.
- Oversee office equipment, furniture, and fittings, including maintenance and repairs (e.g., copier, shredder, air purifiers and etc).
- Record minutes during DC Admin Support meetings and manage follow-up on administrative functions
- Provide administrative support and manage Controlled Documents, such as DCO SOPs, Policies, and Forms, in SharePoint.
- Serve as Document Custodian for SG DCO documents, including MSA, Work Orders, and Audit Certifications.
- Provide admin support during audit periods, certifications processes.
- Support APDC corporate events, festive celebrations, and team-building activities with administrative and logistical assistance.
- Any other duties or projects as assigned by the Management.
Requirements
- Diploma in Business/Office Admin or equivalent with at least 3 years of relevant working experience
- Experience in office administration, procurement, real estate/property management, or soft facilities management (e.g., WSH, pest control) is an asset.
- Experience in working in data centre facility or similar environment is a plus
- Independent and able to work efficiently in a fast-paced environment
- Good communication skills and a good team player
- Proficient in MS Office (Outlook, Excel, Word & PowerPoint)
- Flexible with work location being assigned to any of the Company's data centres.
