Job Description

About Quant Matter:

Quant Matter is a quantitative-based trading firm that specializes in crypto market-making and multi-asset trading, including futures, stocks, commodities, forex, and cryptocurrency. Our team focuses on developing and deploying high-quality quantitative strategies and predictive signals (alpha) to achieve sustainable long-term investment objectives. We are seeking a detail-oriented and proactive Admin Executives/Manager to support various administrative functions within our organization.

Key Responsibilities:

  • CEO Scheduling: Manage and coordinate the CEO's calendar, scheduling meetings, appointments, and travel arrangements as needed.
  • Payroll Administration: Assist with the payroll process by ensuring accuracy in employee data and timely processing of payments in coordination with the HR department.
  • Visa Coordination: Manage visa applications and renewals for employees, ensuring compliance with local regulations, in collaboration with HR.
  • Corporate Secretary Duties: Support the corporate secretary in preparing necessary documents and obtaining signatures for compliance and governance matters.
  • Account Opening Support: Facilitate the account opening process for new employees, ensuring all necessary documentation is completed and submitted, coordinating with HR as needed.
  • Documentation Management: Organize and maintain records, files, and documents efficiently.
  • Office Administration: Perform general administrative duties such as filing, managing office supplies, and ensuring smooth office operations.
  • Travel Arrangements: Coordinate and arrange travel logistics for the CEO and other team members, including booking flights, accommodations, and transportation.

Requirements:

  • Diploma in Business Administration or a related field.
  • Bilingual in English and Chinese is a must.
  • Minimum of 2 years of administrative experience in a corporate environment.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Positive attitude and willingness to learn and grow within the organization.
