Key Responsibilities:
- Serve as the first point of contact for clients-answering calls, emails, and welcoming visitors.
- Manage schedules, appointments, and meetings for team members.
- Handle correspondence, document preparation, and file management.
- Maintain office supplies and ensure a smooth-running workplace.
- Assist with invoicing, expense tracking, and basic accounting tasks.
- Prepare and issue billing to clients.
- Prepare secretarial work such as drafting letters and maintaining records.
- Handle personal assistant tasks for the Director, such as managing personal schedules or travel arrangements.
- Take on any ad-hoc tasks assigned by the direct report supervisor.
- Support team members with administrative and organizational tasks as needed.
Qualifications:
- O-Level or Diploma in any relevant field.
- Proven experience as an administrative assistant, office manager, or similar role (experience in an accounting or financial environment is a plus).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with office technology.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- A proactive attitude with a high level of professionalism and confidentiality.
