Key Responsibilities:- Office Operations: Assist with daily office tasks, including answering phone calls, managing office emails, and handling general inquiries.
Office Maintenance:
Oversee office upkeep, including managing stationery supplies, organizing office properties, and arranging document deliveries.Document Management:
Efficiently manage filing systems and records to ensure easy access and retrieval of important documents.Project Coordination: Support project activities by coordinating timelines and ensuring that all tasks are completed on schedule.
- Payment Processing: Assist Manager to ensure timely and accurate processing of payments, including vendor invoices, project payments and employee reimbursements.
Deadline Management:
Monitor and assist in meeting project deadlines, coordinating with team members as needed.Travel Arrangements:
Handle logistics for overseas business trips, including booking travel and accommodation.HR Support: Manage administrative tasks related to the HR system, such as employee records and onboarding processes.
- Team Support: Provide general administrative support to the team, including arranging office cleaning schedules and other operational tasks.
A minimum of 2 years of experience in an administrative or HR, Accountant, office support role is preferred.
- Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent communication skills, both written and verbal in English and Chinese- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to work independently and as part of a team.
- High attention to detail and problem-solving abilities.
Familiarity with office management software and HR systems is a plus.
