In this role you will support a Managing Director on the following:
- Organize calendars and schedules across various time zones and resolve any scheduling issues.
- Applying of travel insurance and other ad-hoc membership applications for team when required.
- Manage, coordinate, and arrange team's travel and travel-related activities, including hotel booking, transportation, and meal coordination.
- Filing of expenses to be submitted to the finance team.
- Insurance claims submission.
- Manage business unit's database filing system.
- Handling sensitive and personal information and maintain a high level of confidentiality.
- Complete ad-hoc projects as assigned such as personal events and/or family needs.
In addition to the above, you will also work with various internal stakeholders on the following:
Team Support
- Assist in preparing presentations and proposal decks for clients.
- Uploading of client proposals to Redhill's depository system.
- Tracking of new business and updating teams internal sheet.
- Assisting team members on any leave and expenses claim matters.
Finance
- Creation of new client contracts.
- Liaising with the Finance department on client contract and timeline for billing of invoices.
- Managing spreadsheet for expense report to be billed to client at the end of each month.
- Updating new business pipeline database.
HR
- Work with HR team on onboarding for new joiners and offboarding of staff. This entails liaising with IT department for new laptops, email set up.
The ideal candidate will have:
- At least 2 years of experience in supporting senior leadership.
- Strong competencies in Microsoft Office suites especially PowerPoint and Excel and other customer relationship management tools.
- Spectacular time management skills are organised, resourceful and meticulous with good problem-solving capabilities.
- The ability to identify and proactively solve issues before they become problems.
- A can-do attitude.
