Position: Administrative Assistant to CEO
Position Overview:
Ryde is seeking a highly organized and proactive Administrative Assistant to support our Chief Executive Officer and manage overall office administrative tasks. This role combines executive assistance with general office management, ensuring both the CEO's needs and the broader office operations are handled efficiently. The ideal candidate will excel in a dynamic environment, demonstrating strong attention to detail and the ability to multitask effectively under pressure.
Key Responsibilities:
Executive Support:
- Calendar Management: Organize and maintain the CEO's calendar, schedule appointments, and coordinate meetings.
- Travel Coordination: Arrange travel itineraries, including booking flights, accommodations, and transportation.
- Expense Management: Handle expense reports and assist with budget tracking for the CEO.
- Personal Assistance: Provide personal support to the CEO as needed, managing tasks that facilitate their daily activities.
Office Administration:
- Daily Operations: Oversee the daily operations of the office to ensure a productive and organized work environment.
- Supplies Management: Monitor and manage office supplies inventory, placing orders as necessary and coordinating with vendors.
- Event Coordination: Organize and coordinate office events, meetings, and conferences, ensuring all logistical aspects are handled smoothly.
- Workspace Maintenance: Ensure office areas are well-organized, presentable, and equipped with necessary resources.
Communication and Coordination:
- Information Flow: Facilitate effective communication between the CEO and other departments, ensuring timely and accurate information dissemination.
- Internal Communications: Assist in the preparation and dissemination of internal communications to staff as directed by the CEO.
- Vendor Management: Coordinate with external vendors and service providers to support office needs and initiatives.
Data Management and Reporting:
- Database Maintenance: Maintain and update databases, contact lists, and other essential records.
- Reporting Assistance: Assist in the preparation of regular reports and summaries for the CEO, providing necessary data and insights.
- Documentation: Ensure all records and documents are accurately maintained and easily accessible.
Confidentiality and Discretion:
- Sensitive Information: Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Integrity: Ensure all tasks are performed with integrity, maintaining the trust and confidence of the executive team and the broader organization.
Qualifications:
- Education: Bachelor's degree in Business Administration, Management, or a related field.
- Experience: Minimum of 5 years of experience in an administrative assistant or similar role.
- Exceptional organizational and time-management skills.
- Ability to multi-task effectively under pressure.
- Excellent interpersonal skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- High level of integrity and discretion.
- Proven ability to communicate effectively with C-suite level executives.
- Demonstrated ability to work effectively in a fast-paced and dynamic environment.
