Administrative Duties:
Office Management: Oversee daily administrative operations, ensuring a smooth and efficient office environment.
Document Management: Maintain and organize documents, contracts, and records, ensuring compliance with company policies and regulatory requirements.
Correspondence Handling: Manage incoming and outgoing communications, including emails, phone calls, and mail, and respond to inquiries promptly.
Scheduling: Coordinate and schedule meetings and appointments.
Supplies Management: Monitor and manage office supplies inventory, placing orders as needed to ensure availability.
Expense Management: Track and report on departmental expenses, when required.
General Admin Support: Reception Duties
1st point of cover when required
Answering screening and forwarding incoming phone calls.
Attending to guests, couriers and deliveries.
Receiving and sorting daily mail.
Keep the reception area clean and neat.
Ensure meeting rooms are kept clean and tidy, lights and air-con off after each meeting.
Leasing Responsibilities:
Relations: Build and maintain strong relationships with existing and potential stakeholders, addressing their needs and concerns in a timely and professional manner.
Lease Negotiations: Assist in negotiating lease terms and conditions with prospective tenants, ensuring favorable terms for the company.
Lease Documentation: Prepare, review, and manage lease agreements, ensuring accuracy and compliance with legal and company standards.
Market Research: Conduct market research to identify potential leasing opportunities and stay updated on industry trends and competitor activities.
Payment related: Facilitate and manage payment processes, addressing any discrepancies or issues with Finance department promptly.
