Job Description

Kallang Alive Sports Management is seeking a dynamic and experienced Assistant Manager, Catering & Hospitality to join our team. This individual will play a key role in ensuring the highest standards of service and hospitality are delivered during events, assist in the planning, coordination, as well as execution of catering and hospitality services for events and functions held at Kallang Alive. This role involves ensuring high standards of service, optimizing operations, and enhancing guest experiences. The ideal candidate will have a strong background in hospitality management, excellent leadership skills, and a passion for sports and event management.

Responsibilities

Event Planning and Coordination:

  1. Assist in planning and coordinating catering and hospitality services for various events.
  2. Work closely with event organizers, vendors, and internal teams to ensure seamless execution.

Operational Management:

  1. Assist in the planning and execution of all catering operations during events.
  2. Coordinate with vendors, suppliers, and internal teams to ensure seamless service delivery.
  3. Oversee the setup, execution, and breakdown of catering events, ensuring adherence to quality and safety standards.
  4. Oversee daily operations of catering and hospitality services.

Team Leadership:

  1. Supervise and train catering and hospitality staff, fostering a positive and efficient working environment.
  2. Schedule staff shifts and ensure adequate coverage during events.
  3. Provide ongoing feedback and performance evaluations to team members.

Customer Experience:

  1. Ensure exceptional customer service is provided to all guests and clients.
  2. Address and resolve any issues or complaints promptly and professionally.
  3. Continuously seek opportunities to enhance the guest experience.
  4. Ensure exceptional guest experiences by providing high-quality hospitality services.
  5. Handle guest feedback and complaints promptly and professionally.

Financial Management:

  1. Assist in budgeting and financial planning for catering and hospitality services.
  2. Monitor expenses and ensure adherence to budget constraints.
  3. Generate reports on catering performance, including sales, costs, and customer feedback.
  4. Assist in developing and managing budgets for catering and hospitality operations.
  5. Monitor expenses and optimize costs without compromising service quality.

Compliance and Standards:

  1. Ensure compliance with all health and safety regulations.
  2. Maintain high standards of cleanliness and hygiene in all catering and hospitality areas.
  3. Implement and uphold company policies and procedures.

Vendor Management:

  1. Manage relationships with catering vendors, negotiate contracts, and ensure timely delivery of services.
  2. Conduct regular performance reviews and ensure vendors meet Kallang Alive's standards.

Marketing and Promotion:

  1. Collaborate with the marketing team to promote catering and hospitality services.
  2. Develop and implement strategies to attract new clients and retain existing ones.

Innovation and Development:

  1. Stay updated with industry trends and implement innovative ideas to enhance services.
  2. Continuously seek ways to improve operational efficiency and customer satisfaction.

Client Relationship Management

  1. Assist in managing relationships with key clients and sponsors, ensuring their satisfaction and retention.
  2. Act as a point of contact for client inquiries, requests, and concerns, providing timely and professional responses.
  3. Collaborate with the commercial team to identify upselling and cross-selling opportunities within the hospitality segment.
  4. Coordinate and support the preparation of hospitality proposals, contracts, and service agreements.

Hospitality Services Coordination

  1. Assist in planning, organizing, and coordinating hospitality services for events and activities.
  2. Liaise with internal departments, external vendors, and partners to ensure the seamless delivery of hospitality offerings.
  3. Coordinate guest list management, ticketing, seating arrangements, and special requests for hospitality clients.
  4. Monitor and track hospitality inventory, ensuring accurate allocation and availability for each event.

Event Execution and Support

  1. Collaborate with event managers to understand specific event requirements.
  2. Customize catering offerings to meet the unique needs of each event.
  3. Ensure timely and accurate execution of all event-related activities.
  4. Support the execution of hospitality programs during events, ensuring a high level of customer service and guest satisfaction.
  5. Coordinate with operations, experience, and facilities teams to facilitate smooth event operations and logistics.
  6. Assist in managing on-site hospitality facilities, including suites, lounges, and VIP areas.
  7. Resolve any issues or concerns that arise during events, providing timely and effective solutions.
  8. Reporting and Documentation:
  9. Maintain accurate and up-to-date records of hospitality-related activities, client interactions, and contracts.

Administrative Support

  1. Provide general administrative support to the Head of Catering & Hospitality, including scheduling meetings, preparing presentations, and managing correspondence.
  2. Assist in budget monitoring and expense tracking related to hospitality services.
  3. Contribute to the development and maintenance of standard operating procedures and best practices for hospitality management.

Requirements

  • Bachelor's degree in hospitality management, Business Administration, or related field.
  • Luxury Hospitality and high end restaurants/hotel experience is preferred.
  • Minimum of 3-5 years of experience in catering and hospitality management, preferably in a sports or events setting.
  • Strong leadership and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite and hospitality management software.
  • Strong understanding of health and safety regulations.
  • Exceptional customer service skills and attention to detail.
  • High level of professionalism and integrity.
  • Ability to work under pressure and meet tight deadlines.
  • Strong problem-solving skills and a proactive attitude.
  • Excellent communication and negotiation skills.
