Our client is looking for a Senior Manager in the facilities department that is driven and positive attitude. This role includes managing a team and the primary objective of this role is to oversee various aspects of building operations and facility maintenance.
Key Responsibilities:
Work alongside Asset Managers and the Reporting head to oversee various functions.
Regulatory Compliance
Ensure regulatory compliance for all properties, including maintaining CERT teams and timely renewal of statutory licenses.
Ensure properties operate in compliance with WSH guidelines.
Property Maintenance
Maintain properties, equipment, and fittings according to Operating Procedures and Requirements.
Support the facilities management team in managing minor AEIs, repairs, maintenance, and ad-hoc projects, coordinating with consultants and contractors.
Lead the annual budgeting process for OPEX and CAPEX for properties.
Manage and monitor expenses against the budget.
Collaborate with the contract and procurement manager and facilities management team to develop procurement packages, evaluate bids, and recommend contract awards.
Ensure the procurement process adheres to policy, including service acceptance and payment recommendations.
Identify asset improvement and cost optimization projects with other departments.
Tenant Management
Maintain strong tenant relationships and address tenant-related matters promptly, including inspections, handovers, and defect management.
Oversee the issuance of Permits to Work.
Reporting and Record Keeping
Ensure accurate and timely submission of reports.
Maintain proper documentation of maintenance activities for each property according to the preventive maintenance program.
Keep organized records of all service reports, delivery orders, and invoices.
Ensure the facilities management function passes all audits.
HR and ESG Initiatives
Manage and guide the Facilities Management staff.
Recruit Facilities Management staff to ensure operational continuity.
Plan and drive ESG initiatives.
Supervisory Responsibilities:
Provide formal supervision to staff, overseeing recruitment, promotion, and performance appraisal processes.
Monitor staffing levels and labor utilization, providing mentorship and coaching to team members to enhance competencies.
Education and Experience:
Minimum of six years of progressive experience in a related field, with a preference for a bachelor's degree in business, technical, or management disciplines.
Certificates and Licenses:
Candidates with CFME certification will be advantageous.
Communication Skills:
Proficient in comprehending and interpreting complex business documents, with the ability to communicate effectively with various stakeholders through reports, presentations, and negotiations.
Financial Knowledge:
Possess a deep understanding of financial principles, with the ability to calculate complex figures, prepare budgets, and conduct financial analysis.
Reasoning Ability:
Skilled in solving advanced problems and developing strategic solutions in complex situations, drawing upon analytical skills and experience to make impactful recommendations.
