As the face of Ascentium, the Client Services Receptionist will leverage strong communication and interpersonal skills to engage with both internal and external stakeholders, with a particular focus on clients. The office is located at Ocean Financial Centre.
Communications:
- Promote and cement strong relationships with clients when they arrive at the reception area.
- Answer the telephone in a clear, positive, and professional manner to ensure good care of all incoming enquires.
- Ensure that all visitors to Ascentium's office are made welcome, ascertaining their requirements, assisting them with general information or passing them onto the appropriate person.
Service Delivery:
- Be responsible for the delivery of elevated levels of customer care and service delivery within the reception and common use office areas. Anticipate the needs or concerns of clients and aim to exceed client expectations.
- Stay updated with current industry trends and developments related to reception services.
Client Operations:
- Process and co-ordinate of all ad-hoc hospitality requests - including catering and room-setups.
- Uphold and enforce security protocols, including visitor registration and access control procedures.
- Maintain the reception and office areas in a clean, functional, and safe condition. Ensure upkeep of meeting rooms - meeting rooms to be made available after every use. All rooms must be refreshed, chairs to be placed back into position, check for other cleaning and maintenance activities.
- Contribute to the effective administration of office processes (e.g., managing vendors responsible for cleaning of office and toilets, kitchen pantry supplies).
- Identify cleaning, repair and maintenance activities required and escalate when required.
Essential skills required:
- Excellent telephone manner, interpersonal and communication skills.
- Friendly and confident personality.
- Experiences from hotels, restaurants, airlines, will bring strengths to this role. Preferably possess at least 3 years of experience in the hotel or airline industry, focusing on C-suite guest services.
- Effectively bilingual in English and Mandarin (to interact with mandarin speaking clients)
- Initiative-taking, able to work independently with minimum direction.
- Extremely organized, collaborator with an elevated level of flexibility and strong work ethic.
- Maintain an elevated level of integrity when overseeing confidential documents and information.
- Ability to effectively interact with all levels in the organisation.
- Proficient level of MS Word and Excel skills is preferred.
