Job Summary:
The Records administration Associate 1 is responsible for aiding with the management of physical documents, ensuring that they are correctly digitized, stored, and maintained for easy retrieval.
Key responsibilities:
Scanning Documents: Use scanning technology to create high-quality digital copies from physical documents.
Document Storage: Organize and store physical documents using an efficient and secure filing system.
Document Retrieval: Retrieve documents as requested, guaranteeing timely and correct distribution to authorized persons.
Off-Site Archiving: Coordinate the transfer and storage of records in off-site archiving facilities, ensuring accurate documentation and tracking.
Audit Document Retrieval: Assist audit procedures by retrieving and delivering required documents, guaranteeing compliance with audit requirements.
Skills and Abilities
Excellent organizational abilities and attention to detail.
Capability to manage multiple tasks within established time-frames.
Experienced in word processing and spreadsheets.
Excellent oral and written communication skills including good command of English language.
The position requires periods of standing, which may necessitate some stooping or kneeling, as well as the use of a ladder to access paper documents on high-density file systems.
The position requires a substantial amount of writing and keyboarding, which involves repetitive finger movements and prolonged periods of sitting.
Unaided lifting of objects up to 40 pounds/18kgs.
Education and Work Experience
NITEC, Higher NITEC or Diploma in any discipline.
Experience in a similar function within a regulated industry, or 12 years of office experience will be advantageous.
