Job Purpose
We are expanding our team of skilled event specialists and are seeking a talented and responsible individual to join us in delivering successful conferences and events for our agency force across Asia and Africa.
If you are a dedicated Events Manager with at least 5 years of experience in organizing large scale conferences and conventions, we would love to hear from you.
The ideal candidate should be highly organized, proactive, efficient, and able to remain calm and friendly in challenging situations. This role also involves providing administrative and operational support to ensure the smooth execution of our events, both locally and abroad.
Job Responsibilities
Procurement & Budget Management
- Prepare, monitor and manage project budget, event expenses and deliverables while ensuring a highly memorable event experience for attendees.
- You will also need to adhere to the internal procurement process and manage vendor payment timelines.
- Work closely with procurement on sourcing of events support vendor and RFP for events.
Project & Programme Management
- Work closely with vendor in sourcing and cost management for all event deliverables like venue, catering, events support vendors, gifts, fringe entertainments, design & concepts etc.
- Coordinate and communicate with local business unit events colleagues and external vendors to deliver the event programme and materialise the objectives.
- Ensure programme are well-thought through and local business units thoroughly briefed prior to event.
Collaterals Management
- Manage events/recognition collaterals of Group initiatives.
- Work closely with events vendor to come up with practical and useful gifts for incentive trips.
Job Requirements
- Education: Degree qualification in related field.
- Minimum 5 years experience in events planning.
- Excellent communication and interpersonal skills, fluent in both spoken and written English.
- Sense of Ownership - Self-motivated to take ownership of various projects and advance work.
- Detail-oriented and adept at multitasking - You can efficiently manage multiple tasks while ensuring accuracy and attention to details in all deliverables.
- A hands-on person - One who enjoys rolling up your sleeves for pre-event logistics planning, onsite execution of events.
- Proficiency in Microsoft Office - Word, Excel, Powerpoint, Outlook, Teams. Advance skillsets like vlookup, pivot table and macros are a plus for post event project reconciliation.
