Job Description:

We are seeking a highly experienced and responsible Corporate Secretarial Executive to join our team. As the Corporate Secretarial Executive, you will be responsible for managing daily affairs, including administrative tasks, business activities, and communication coordination. This role requires excellent organizational skills, communication abilities, and some marketing experience.

Key Responsibilities:

  • Prepare and file statutory documents for the company, ensuring compliance with relevant regulations set by ACRA in Singapore.
  • Assist in arranging and coordinating board meetings, shareholder meetings, and prepare meeting minutes and resolutions to ensure transparency and compliance in corporate governance.
  • Maintain and update statutory records, including company registration information, director and shareholder details, and shareholding changes.
  • Handle the submission of annual returns, financial statements, tax filings, and registration changes to ACRA in a timely manner.
  • Collaborate with various departments to ensure smooth internal communication and support daily operations.

Job Requirements:

  • Possession of a university degree, preferably in accounting, corporate secretarial studies, or a related field.
  • At least 1-3 years of relevant experience in company secretarial work, with a solid understanding of Singapore company laws and ACRA requirements.
  • Excellent written and verbal communication skills, capable of effectively communicating with clients and teams in both English and Chinese.
  • Detail-oriented with strong organizational and time management skills.
  • Proactive, able to work independently, and well-integrated into a team.
  • Proficiency in Chinese is preferred, with additional consideration given to candidates who can communicate fluently with Chinese-speaking clients.

Administrative Management:

  • Assist in managing daily administrative and business tasks.
  • Prepare and present various reports and presentations.
  • Manage internal business operations and work reporting.

Company Secretarial Duties:

  • Assist the secretarial team in reviewing submissions related to company secretarial work and provide training to the team.
  • Manage ongoing company secretarial matters for clients, such as work pass applications, opening bank accounts, and changing signatories.

Client and Regulatory Communication:

  • Manage and oversee communication with clients and regulatory bodies (e.g., ACRA/IRAS).
  • Ensure timely and accurate submission of required documents and information to regulatory authorities.

Compliance Management:

  • Regularly review KYC (Know Your Customer) and CDD (Customer Due Diligence) information for existing clients, particularly high-risk clients, to ensure compliance with regulatory standards.
  • Ensure the company and its clients comply with relevant laws and regulations.

Client Relationship Management:

  • Maintain regular client relationships, ensuring effective communication and interaction, understanding client needs, and providing support.

Professional Development:

  • Attend events and seminars in the company secretarial field to stay informed about the latest industry developments and best practices.

Special Projects:

  • Undertake special tasks and projects assigned by management.
