About the role

Accountable for the management, implementation, and delivery of a large technology program of work in Commodity Trading Risk Management (CTRM) consisting of end to end physical and paper trading activities across Singapore, US, Europe, Australia and NZ. This role holds end to end accountability for the project lifecycle, from concept to operational transition, ensuring business value delivery through technology aligned with Ampol's program management methodologies and procedures.

As the leader of the Commercial Fuels Commodity Trading Risk Management project, this position oversees a crucial, complex initiative aimed at replacing legacy platforms, integrating with ERP, Voyage Management, Supply Planning, Data Lake, and Front Office Tools, and refining processes to support:

  • Comprehensive physical and paper trading activities
  • Existing operations in Singapore, US, and Australia, as well as new markets in the UK and NZ
  • Trading of hydrocarbon and renewable fuel products

Responsibilities span the entire project lifecycle, from architectural design through to seamless transition into operations, with a focus on delivering technology-driven business value and adhering to Ampol's program management standards. Key aspects of the role include:

  • Oversight of CTRM vendor agile delivery and associated KPIs
  • Vendor management
  • Stakeholder engagement, risk and issue management, and comprehensive reporting
  • Budget management
  • Establishing sustainable BAU (Business as Usual) product operations

This role collaborates closely with the Process team to drive business process enhancements and improve transparency through the CTRM implementation.

Key responsibilities

Project Delivery

  • Responsible for managing a multi year CAPEX budget of $15m per annum.
  • Work with business stakeholders in the commodity trading and supply business to prioritise demands and ensure alignment with financial allocations.
  • Define, establish and manage multiple 3rd party vendor contracts for the execution of work packages within the program (value $10-20m), with appropriate IT and Business sign off.
  • Actively manage the Portfolio of technology projects in this space, ensuring resource management, reporting, financial controls are in place.
  • Ensures that technology project scope is managed to and act as point of escalation for scope changes, ensure that changes in scope that will impact time or cost are managed within established change control processes.
  • Ensure delivery of a CTRM that meets trading and supply operations requirements.
  • Develop business case proposals and funding allocation requests for the portfolio of projects
  • Ensures IT projects deliver the benefits stated.
  • Manages the annual Capital planning cycle for the portfolio of projects in conjunction with the Technology Managers.
  • Ensures projects are delivered as per Ampol project management methodology.
  • Provides input to the development and maintenance of the Projects at Ampol methodology and framework and tooling.

People Leadership

  • Provides leadership, direction and professional development of IT project managers ensuring skills and knowledge are aligned to the project requirements.
  • Recruits and selects project resources both permanent and contract as business requirements and funding dictate. Stakeholder management
  • Actively engages with stakeholders, ensuring appropriate governance is in place.
  • Ensures that stakeholders expectations around project scope, timeframes and outcomes are effectively managed and any changes are well communicated and understood.
  • Escalates project risks and any strategies being deployed to address slippages.
  • Ensures appropriate change management processes are in place to drive effective end user adoption.
  • Escalates project issues / risks needing attention to the Technology Managers and Head of Delivery.

Vendor Management

  • Ensures prudent commercial procurement decisions are made in relation to the selection of the delivery partners and that statements of work are negotiated and managed by the team accordingly, with sign off from Contract owners.
  • Ensure value for money is obtained from vendor contracts, synergies are achieved, and a strong alliance relationship is established and maintained.
  • Works with the Project Managers to ensure that vendors are meeting the critical elements of their commercial agreements and SOWs and works across the projects to address any issues associated with vendor delivery.
  • Acts as the Escalation point for underperformance of vendors and is accountable for the support of project managers in addressing such.
  • Works with Head of Delivery and Technology managers in the selection of ongoing support partners ensuring the appropriate procurement processes are followed in obtaining our support partners.

Qualifications & experience

  • Tertiary qualification in a relevant discipline (such as Business, Finance, IT, Engineering) or significant equivalent workplace experience.
  • Certified in Prince2 or PMBOK
  • Program manager certified
  • Agile certified
  • Experience working in the Commodity Trading Risk Management (CTRM) industry especially in relation to oil products
  • SAP experience is preferred but not essential
  • At least 15 years technology delivery experience, with at least 7 years managing large programs of complex technology projects
  • Proven experience and track record in the successful implementation of Business projects and outcomes.
  • Experience working in large and complex working environments.
  • Experience in Agile project management methodology is an advantage
  • Strong focus on program outcomes as you will be expected to make informed decisions in an agile manner and deliver tangible outcomes/benefits.
  • Demonstrated capacity for translating thought into action and being fully accountable for results.
  • Proactive nature to ensure constant awareness and knowledge of changes in operation throughout the Ampol business.
  • Takes pride in achieving success and creation of value for the business.

Skills & Knowledge

  • Excellent communication skills and experience working in parallel with Business and cross-functional teams.
  • Well-developed organisational skills and the capacity to be flexible in balancing priorities to meet/exceed customer needs.
  • Ability to construct arguments, to challenge positively and constructively, and to distinguish requests from underlying needs.
  • Energetic self-starter, ability to quickly establish relationships with other senior stakeholders, project members and business SMEs
  • Able to make tough decisions in unknown or new areas
  • Ability to develop confidence, presence, and influence within and outside function
