Ductwork Project Shipment Coordinator- Overview: We are seeking a meticulous and proactive Ductwork Project Shipment Coordinator to manage the logistics and shipment of materials, equipment, and supplies for our ductwork projects. This role is pivotal in ensuring timely delivery, efficient transportation, and accurate documentation to support project timelines and client expectations. The ideal candidate will have a strong understanding of logistics operations, exceptional organizational skills, and the ability to thrive in a fast-paced construction or process exhaust ductwork environment.
Logistics Coordination:
- Coordinate the shipment and transportation of materials, equipment, and supplies required for ductwork projects, both domestically and internationally.
Liaise with suppliers, freight forwarders, carriers, and customs agents to arrange transportation, schedule deliveries, and ensure compliance with import/export regulations.
- Track shipment status, monitor delivery timelines, and proactively communicate updates to internal teams and stakeholders.
Documentation and Compliance:
- Prepare and manage shipping documents, including packing lists, bills of lading, customs declarations, and certificates of origin, ensuring accuracy and compliance with regulatory requirements.
Coordinate with internal departments (e.g., procurement, finance) to verify shipping invoices, resolve discrepancies, and facilitate timely payments to vendors and service providers.
- Maintain records of shipment activities, including shipping schedules, freight costs, and delivery confirmations for audit and reporting purposes.
Inventory Management and Warehousing:
- Coordinate with warehouse personnel to ensure timely receipt, inspection, and storage of incoming shipments.
Monitor inventory levels of shipped materials and supplies, reconciling discrepancies and updating inventory records as necessary to maintain accurate stock levels.
- Implement inventory control measures to optimize storage space, minimize inventory holding costs, and prevent stockouts during project execution.
Communication and Coordination:
- Serve as a primary point of contact for shipping-related inquiries, providing timely and accurate information to project managers, suppliers, and subcontractors.
Facilitate effective communication channels between internal teams and external stakeholders to resolve shipment-related issues, expedite deliveries, and mitigate transportation delays.
- Collaborate closely with project teams to align shipment schedules with project timelines and ensure seamless integration of logistics activities into project plans.
Quality Assurance and Continuous Improvement:
- Conduct quality checks on incoming shipments, ensuring conformity with purchase orders, specifications, and industry standards.
Identify opportunities for process improvement in shipping and logistics operations, proposing and implementing solutions to enhance efficiency, reduce costs, and optimize supply chain performance.
Minimum Diploma in Logistics, Supply Chain Management, Business Administration, or a related field; relevant experience in logistics coordination may substitute for formal education.
- 3+ years of experience in logistics, shipping coordination, or supply chain management, preferably within the construction, manufacturing, or process exhaust ductwork industry. Highly experienced candidate will be considered for senior position.
Proficiency in logistics software and ERP systems for tracking shipments, managing inventory, and generating reports.- Strong knowledge of international shipping regulations, customs procedures, and import/export documentation requirements.
Excellent organizational and problem-solving skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
