POSITION: Events Executive, Guest Experience

LOCATION: Singapore, Singapore

TERM: Permanent

Strategic Advisory (Consultancy and Data & Insights), 2. Asset Optimisation (Operations and Commercial), 3. Activation & Engagement (Events and Marketing). ROLE OVERVIEW:

Reporting to the Guest Experience Director, Asia, the Events Executive will support in the delivery of the Guest Experience remit on 54's events in the region, including our current golf events portfolio and other new business.

The Guest Experience team ensures a smooth and seamless experience through guest management and logistics, and curates experiential elements to help drive brand fans and event commercialisation. Responsibilities include hospitality and VIP propositions, event-wide food & beverage procurement, special events, player and stakeholder accommodation, transport, guest management systems, accreditation, gifting, clothing and Pro-Am tournament coordination.

The Events Executive, Guest Experience should have some experience working in large scale events, ideally within sports. Tasked with supporting core aspects of event delivery under an event project team structure, and supported by senior 54 management, the Events Executive should boast strong personal motivation and discipline, be comfortable working remotely, and have the ability to work on multiple projects simultaneously. A keen eye for detail and ability to work to tight deadlines with excellent communication skills are also necessary, as is the flexibility to travel internationally and with sensitivity to different cultures.

KEY ROLES & RESPONSIBILITIES:

  • Support the delivery of designated Guest Experience remits, including:
  • Hospitality, F&B and Experiential
  • Source local prospective catering suppliers or F&B partners
  • Draft briefing documents and scopes of work
  • Coordinate and maintain timings plans and run sheets
  • Collect menus and supporting food safety documentation
  • Oversee front of house staff
  • Provide creative input and ideas to elevate event experience

Logistics & Accommodation

  • Sourcing of a range of local accommodation options for various needs
  • Sourcing of transport suppliers for airport arrivals, courtesy cars etc
  • Maintenance of accommodation logs and transport schedules
  • Coordination of tournament clothing/ uniform needs
  • Drafting of staff handbook to share event and travel information
  • Coordinate design and print requests with internal teams & suppliers
  • Support coordination of freighting items between events

Guest Management

  • Maintain guest lists and guest needs for all aspects of events
  • Manage log of client's guest management requests
  • Pull guest group reports
  • Source sustainable and local gifting options for review
  • Support with accreditation systems and access plans
  • Coordinate support for visa services
  • Support ticketing teams with customer enquiries
  • Help to keep project management plans up to date
  • Draft and maintain client-facing slides
  • Processing of invoices and review of payment tracker
  • Develop supporting documentation and information
  • Report to and support the Guest Experience Director and the wider Event delivery team as necessary
  • Be and excellent communicator and team player.

REQUIRED SKILLS & ATTRIBUTES:

  • Interpersonal skills and desire to be a team player
  • Strong work ethic with the ability to work unsupervised
  • Proficient with a Guest Management system like Guestia or Syrox
  • Proficient with Microsoft Office 365, Monday.com or similar project management tools
  • Ability to work at least 3 days a week from our One Raffles Place office and travel up to 12 weeks of the year.

SALARY AND BENEFITS:

  • Competitive Salary
  • Annual Discretionary Company Bonus up to 8% - 3% Company & 5% Individual
  • 33 days annual leave (inclusive of gazetted public holidays), pro-rated

  • Working hours will be from 09.00 to 18:00 with an hour taken for lunch between 12.00 and 14.00
