Position Overview:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our CEO, based in Singapore. The ideal candidate will be responsible for handling a wide range of confidential and high-level administrative duties, ensuring smooth operations for the CEO and the broader team.

Key Responsibilities:
- Manage, coordinate, and maintain the CEO's schedule, including meetings, appointments, and other activities. Highly proficient in calendar management, effectively handling priorities and resolving conflicts in the CEO's schedule.
- Oversee and manage the itinerary and agenda, travel logistics, and activities, encompassing accommodations, transportation, and meals.
- Coordinate with colleagues and external contacts to arrange travel, visas, and lodging.
- Coordinate major events involving the CEO.
- Assist in organizing regular partner engagement meetings and events, including managing logistics, preparing for conferences, booking rooms and facilities, and arranging refreshments.
- Respond to and send emails on behalf of the CEO, including forwarding them to the appropriate personnel for handling.
- Compose routine and non-routine correspondences and presentation from brief notes, oral or written instructions.
- Assist with vendor payment requisitions, ensuring all payment requests are submitted and processed promptly.
- Prepare expense reports and manage payments for expense items.
- Assist with document management and electronic filing, maintaining professionalism and strict confidentiality with all materials.
- Support specific projects from an administrative perspective, as and when required.
- Take on ad-hoc projects and assignments as directed by the CEO, ranging from managing initiatives to organizing special company-wide initiatives.
Qualifications & Experience:
- Diploma or degree in business studies, administration, management or equivalent.
- Minimum of 5-7 years of relevant experience in an administrative or executive support role, preferably within a similar industry or function.
- Strong verbal and written communication skills.
- Proven ability to handle confidential and sensitive materials and critical assignments professionally.
- Independent, meticulous, and maintaining a high level of professionalism in a fast-paced environment.
- High level of attention to detail and accuracy.
- Proficient computer skills and in-depth knowledge of relevant software such as MS Word, PowerPoint, Excel, etc.
- Able to prioritize and multi-task. Good time management, planning and organization skills, customer-service orientation.
- Flexible and eager to learn new skills and approaches as needed.
