Our client is a prominent global investment firm known for its innovative approach and commitment to excellence. They are seeking a dedicated Executive Assistant to provide administrative and organizational support for Portfolio Managers and the team. The ideal candidate will be a self-starter who thrives in a fast-paced, dynamic environment and is capable of managing multiple projects with minimal supervision.
Responsibilities:
- Coordinate a high volume of internal and external meetings.
- Build and maintain relationships with broker sales teams to effectively plan meetings.
- Manage calendar planning, ensuring teams are prepared for meetings and travel accommodations are arranged.
- Provide corporate access support for your team.
- Collect and organize research reports, financial models, and company quarterly and annual reports.
- Handle extensive travel arrangements, including flights, hotels, and ground transportation for portfolio managers and the team.
- Process expense reports for portfolio managers and the team.
- Liaise with key operational areas to organize new hire training and oversee onboarding processes.
- Undertake special projects for teams or management, utilizing various applications (e.g., FactSet, Bloomberg).
- Participate in weekly business meetings with the teams.
Requirements:
- Bachelor's degree preferred; minimum 3-6 years of administrative assistant experience, ideally in financial services (hedge funds or sell-side banks).
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and related software.
- Excellent written and verbal communication skills, with strong interpersonal abilities.
- Strong time management skills, capable of balancing multiple tasks and competing priorities effectively.
- Exceptionally organized, detail-oriented, and able to operate with a sense of urgency.
- A sense of ownership and pride in one's work, with a passion for the role's core responsibilities.
- Proactive in following up on details, anticipating issues, and closing the loop on requests.
- Ability to exercise discretion when managing confidential information and working across teams.
- Team-oriented with the ability to work independently with minimal guidance.
- Adept at problem-solving, flexible in adapting to changing circumstances, and able to support other administrative staff.
- Singapore Citizen or PR is a must.
