Job Summary
The Executive Assistant & Finance Support reports to the Chief Financial Executive (CFE) for the Asia Pacific (AP), Europe & Middle East (EME) region, and is responsible for providing quality and efficient administrative assistance. This position also supports the whole AP and EME Finance & Accounting Organization.
Core Work Activities
Personal Assistant Duties
- Provide comprehensive secretarial support, including managing calendars, scheduling meetings, and organizing appointments and engagements across different time zones (Asia, US and EME). Proactive in avoiding conflicts and findings suitable solutions.
- Proactively anticipate CFE needs and assist in ad-hoc tasks to facilitate efficient operations.
- Act as a liaison between the CFE and other stakeholders, conveying instructions and ensuring effective communication.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
Administrative, Event Planning and Travel Management
- Organize offsite regional AP & EME conference
- Organize both local/regional offsite team meetings/team building events within allocated budget
- Arrange and coordinate complex travel arrangements, including visa processing and accommodations. Prepare detailed meeting/ travel agenda and schedule meetings in advance of each trip
- Partner with travel agent ensuring accurate itinerary and billing
- Assist with general administration and clerical duties.
Compliance And Finance Related Support
- Assist with annual review of SOPs for yearly audit
- Assist in preparation of power point slides for townhall, meetings and presentation
- Assist on monthly reporting and analysis
- Ensure SOPs and contents in Finance SharePoint are updated
- Gatekeeper for signing of documents, ensuring proper review process is followed
- Co-ordinate with various team for all required documents and agreements to be signed on a timely basis
Candidate Profile
- Minimum Diploma. General Degree preferably in business, finance or accounting.
- 5-8 years relevant working experience.
- Finance and Accounting knowledge and experience is a plus.
- Able to work independently, set/adjust priorities effectively in a fast-paced environment.
- Possess good interpersonal, organizational, and problem-solving skills.
- Ability to learn quickly, multitask effectively and prioritize tasks under pressure.
- High level of professionalism, discretion, and confidentiality are a must.
- Excellent (written and verbal) communication skills.
- Attention to detail; sound judgment and use of discretion; diligence, dependability, and strong work ethic and sense of responsibility.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Flexible and able to work between three different time zone
