Job Summary:

As the Executive Assistant, you will play a key role in providing vital project coordination and administrative support to 1 senior partner in our client's talent acquisition practice. Your responsibilities include intensive calendar management, managing their active projects, supporting business development initiatives, ensuring all documentation is accurately completed, and maintaining meticulous records within their core internal systems.

Key Responsibilities:

  • Provide administrative support by managing the senior partner's complex and heavy calendar, monitoring emails, and coordinating with other EAs for events and mailings
  • Liaise extensively with clients throughout the search process, fostering strong working relationships with high-level executives and their support teams
  • Maintain strict confidentiality while handling sensitive client and candidate information
  • Oversee the opening and closing of engagements with various stakeholders, ensuring all necessary documentation is completed and processed efficiently
  • Review and approve monthly client billing invoices, monitor accounts receivable, and assist in timely account collections
  • Organise and log candidate meetings, coordinate travel arrangements, and ensure timely completion of candidate education verifications
  • Draft proposals, position specifications, and candidate resumes, and assist in preparing and editing Pitch Decks and proposals in PowerPoint
  • Assist in business development through research on companies, individuals, and industries, and by updating consultant activities in client software

Requirements:

  • Minimum of 7-10 years experience supporting senior professionals, ideally in consulting or professional services
  • Strong project coordination skills and experience using Applicant Tracking System (ATS) will be a plus
  • Being flexible to respond to urgent matters outside of working hours will be required of this incumbent
  • Exceptional attention to detail, superior organizational skills, and the ability to manage and prioritize multiple tasks effectively in a highly fast paced environment
  • High proficiency in Microsoft Office, particularly PowerPoint, Outlook, Word, and Excel
