The Executive Assistant (EA) provides all-rounded support to our Executives in our Senior Leadership Team. In your role as an EA, there are two things that you will need to do exceptionally well: (i) Free up time for your Executive's time to focus (ii) Assist your Executive in maintaining meaningful relationships.
To be a great EA, you will need to embody the following traits:
Confidentiality
You will be given a lot of access to important documents, private conversations, management discussions, sensitive information, etc. Treat everything that is given to you with the utmost confidentiality.
Be reliable and get things done
You will be supporting your Executive with a wide variety of tasks, often at a fast pace. You will need to be both accurate and reliable. Do so by having a tight task management system and being meticulous.
Be thoughtful and focus on the details
This is where you shine. Think deeply and spend time covering all the details related to the task. The best EAs get the details right and provide thoughtful support.
You'll be in charge of:
Professional Support
Provide the Executive with a daily briefing of key meetings and reminders
Assist the Executive with calendar management (e.g. scheduling meetings, deconflicting calendars, etc.)
Assist the Executive with team matters (e.g. organising team onboardings, birthdays, team lunches, off-sites, etc.)
Assist the Executive with assigned administrative matters and errands (e.g. travel and dining bookings, submission of expense/insurance claims, buying lunches, buying miscellaneous items, etc.)
Assist the Executive with basic email communication, reports and presentations
Provide desktop research on key counterparties and maintain Executives black book of professional relationships
Provide pre-meeting preparation
Other miscellaneous work-related matters to support the Executive
Personal Support
Assist the Executive in personal errands (research, gifting, event planning, restaurant/flight bookings, managing travel arrangements and itineraries, insurance claims, booking doctor/dentist appointments, managing contractors for repairs, household purchases, arranging for dry cleaning, etc.)
Assist the Executive in personal finance matters (generating monthly personal finance reports, arranging payments, managing petty cash, etc.)
Skills Required
Extremely meticulous and organised
Strong interpersonal skills and stakeholder management
Ability to write well in English
Ability to demonstrate high levels of care, and empathy while being solution-oriented and a self-starter

Ability to plan and manage timelines and budgets
Proficient in Google Suite (i.e. Gmail, Google Calendars, Google Slides, Google Docs, G-sheets)
Past Executive Assistant experience is preferred
Working Arrangement:
The Executive Assistant is expected to come into the office two days a week (for 2 hours each day) with all other hours being flexible
In flexible periods, the Executive Assistant is expected to resolve matters arising from key communication channels (primarily via WhatsApp, and email) at least twice a day (by 10am and by 6pm)
On weekends, no immediate action on assigned tasks is required, unless specifically stated as urgent and time-sensitive. Otherwise, for all other matters, an acknowledgement would suffice.
