Johnson & Johnson Innovative Medicine Asia Pacific is recruiting for an Executive Assistant to the Chief Financial Officer (CFO), located in Singapore.
As the Executive Assistant to the CFO for J&J Innovative Medicine Asia Pacific, you will play a pivotal role in ensuring the smooth operation of our executive office. You will be responsible for providing high-level administrative support to CFO as well as general administration support for Innovative Medicine APAC Regional Finance organization. This role requires exceptional organizational skills, a keen eye for detail, and the ability to maintain confidentiality while handling sensitive information.
Key Responsibilities
- Calendar Management: Maintain and coordinate the CFOs calendars, scheduling meetings, appointments, and travel arrangements. Ensure all commitments are met while optimizing their time.
- Communication: Act as a primary point of contact for internal and external stakeholders, screen and direct incoming calls and emails, and draft or review correspondence on behalf of the executives.
- Meeting Coordination: Arrange and prepare materials for executive meetings, conferences, and presentations. Attend meetings and take detailed notes for later distribution.
- Travel Management: Plan and coordinate travel itineraries, including flights, accommodations, and ground transportation, ensuring cost-effective and efficient travel arrangements.
- Document Management: Manage and organize digital and physical files, records, and documents for the executives. Maintain an efficient and well-organized filing system.
- Expense Management: Handle expense reports and reimbursements, ensuring compliance with company policies and accurate record-keeping.
- Event Planning Support: Assist in the preparation and coordination of the global executive visit, as well as coordinate meetings and related logistics.
- Project Support: Provide support for special projects and initiatives as assigned by the CEO and CFO, including research, analysis, and follow-up.
- Confidentiality: Maintain the highest level of confidentiality regarding all aspects of the executives work and activities.
- Relationship Management: Build and maintain strong relationships with internal and external stakeholders, including clients, partners, and board members.
