Job Description
The incumbent will provide and support the administrative, finance, procurement and logistical needs of the Strategic Relations and Corporate Communications departments within the NUS Business School and other stakeholders.
Administrative matters
- Support board meetings, meetings with external parties and delegation visits, including secure meeting venue, print name tents, prepare corporate gifts, coordinate refreshments
- Coordinate, support and submit staff claims/travel requests in the NUS system
- Assist and submit MOUs and agreements in the NUS system
- Support and coordinate internal meetings, secure meeting venues and send calendar invites
- Support and handle effective department minute-taking and proper filing of minutes
- Keep track and handle the proper filing of documents, agreements etc.
- Maintain and support CRM databases, such as Salesforce
Finance and Procurement matters
- Monitor department budget utilization
- Submit finance claims, and process payments to parties, such as vendors, and suppliers in the NUS system
- Support and handle procurement of corporate gifts and keep track of corporate gift stock
- Procurement of logistics items for events, where necessary
Events Logistics
- Coordinate and book event venues
- Support and coordinate catering for events, event setup, movers
- Support event registration
General Office Support
- Handle general enquiries for incoming phone calls, walk-in queries and department general email mailbox
- Coordinate and support mail despatch, filing, collect mails etc.
- Assist and coordinate with courier service for delivery of documents, mail etc.
- Purchase office and pantry supplies, stationeries etc.
Others
- Provide support in department-wide events
- Any other duties as assigned
Qualifications
- Diploma holder in any discipline with at least 5 years of relevant administrative experience/Degree holder
- Prior experience in procurement and knowledge of SAP and Ariba System would be advantageous
- Meticulous, well-organized and able to multi-task
- Possess good interpersonal skills and able to work well in teams and take part in cross-team projects
- Well-versed in Microsoft Office applications (Outlook, Word, Excel, PowerPoint), Adobe Acrobat (PDF)
