Job Description

Job Description, Function & Responsibility:

A)Purpose

Provide support services in executing & coordinating the department's overall operational activities in an effective & efficient manner for international & domestic markets in respect of sales & execution of contracts to ensure contractual obligations & documentation are timely & accurately met with minimal cost & exposures.

B)Administration Responsibilities

1. Key in data into ACCPAC system (i.e., purchase order, sales confirmation, etc.) and maintain the shipments loading schedule, costing, and any other database required on time and ensure accurate figures and facts for department endorsement.

2. Analyse and maintain all sales and purchase data/statistics as per the Sale and Purchase Contract in terms of operational matters (i.e., payment term, delivery term, documentation requirement etc.) to ensure adherence to terms and conditions of the contract.

3. Handle all shipping documentations including Letter of Credit (LC) transactions.

4. Review Bank Guarantee (BG) or Letter of Credit (LC) or other modes of payment as required in the Sales-Purchase Contract timely and ensure every transaction is accurate according to the requirements of buyers.

5. Verify and process all incoming and outgoing invoices, debit notes, credit notes, and rebates, to and from Buyer/Supplier/third party services provider etc.

6. To ensure the status of payment and remittance to the Supplier/Buyer are paid on due dates as per the Sale and Purchase Contract and Bank Guarantee (BG)/Letter of Credit (LC).

7. Verify and promptly process all freight invoices, tank rental, demurrage, and other logistics related invoices based on the Sales and Purchase contract.

8. Prepare updated product performance report by coordinating with relevant parties (i.e., superiors, buyers, agents, forwarders, surveyors, port authorities and Sales & Marketing Department) on the latest progress, vessels Estimation Time Arrival/Departure (ETA/ETD) and other shipping and operational detail to monitor sales volume, revenue, margins and customer performance on a daily, weekly and monthly basis.

C)Operations Responsibilities

1. Prepare new customer's form for registration approval and initiate standard work instruction forms for Bill of Loading, Documentary Instruction, and Surveyor Instruction for superior's endorsement/approval before distributing to relevant parties.

2. Supervise loading operations to ensure the right quantity, quality and grade before proceeding with loading by liaising with the related parties (i.e., loading terminal, surveyor and custom personnel) and report any problems such as branching, short loading, off-spec cargoes, demurrage, transportation delays, terminal hiccups, transportation problem for improvement action.

3. Implement the operational activities based on the approved plan and budget by liaising, negotiating and securing services of third-party service providers (surveyor, forwarding agent, packaging provider) to conclude with the best costs and contractual terms in line with the company's/HOD guidelines.

4. Establish good working relationships with customers, suppliers and third party logistic and service providers.

D)Logistics Responsibilities

1. Supervise transportation Vessels/Tank/Truck movement to ensure products are ready and cleared for commencement of loading and are executed most efficiently and highlight any deviation of Estimation Time Arrival/Departure (ETA/ETD).

E)Leadership and Capability Development

Enhance own competencies and contribute to the development of the working team through coaching, mentoring, feedback and internal succession to ensure the internalisation of the right leadership and capabilities in executing the job.

F)Mindset, Behaviour and Culture

Implement value interventions, tools, and methodologies in collaboration with the working team to promote and instil a high sense of commitment, ownership, integrity, and loyalty to operational excellence.

G)Others

To perform other ad-hoc tasks as requested by the immediate superior.

Skils:

1. Possess strong track records of operation & supply chain management.

2. Deliver quality and accurate work while under pressure and able to adapt to adapt to a dynamic work environment.

3. Able to work independently at odd hours or weekends/holidays, as and when required.

4. An active and committed team player with strong initiative and good interpersonal skills.

5. Possess good command in written and spoken English and Mandarin.

6. Having the knowledge of INCOTERM 2020 is an added advantage.

7. Able to work with operating system interfaces such as ACCPAC.

8. Possess a good understanding of international and domestic trade.

Experiences

At least Two (2) years of working experience in the relevant position.
