About the PrepVax Office
The PrepVax Office is a national pandemic preparedness programme that aims to draw on the vaccine development capabilities across the public and private sectors. This will be done through various activities including vaccine development projects, facilitating the development of technology platforms and a candidate library.
Job Summary
The Executive will be providing administrative support to the Leadership team as well as assist in project management and stakeholder coordination. The Executive will also contribute to the planning, implementation and monitoring of various aspects of the Office's work.
Main Duties And Responsibilities
SPECIFIC
The Executive Will
- Provide administrative support to the Leadership Team
- Support the planning and implementation of PrepVax's work;
- Assist in the coordination of the relevant parties to accomplish the required research activities under PrepVax. These include collaborators, funding agencies, regulators, academia, and biomedical industry partners, from local as well as overseas institutions and agencies;
- Provide secretariat support to meetings and events, including coordinating between multiple parties, preparing and clearing meeting agenda and presentation materials, taking/vetting minutes, and others;
- Undertake administrative duties such as the monitoring and processing of invoice payments, claims, procurement.

Job Requirements
- EDUCATION, TRAINING AND EXPERIENCE
- Minimum Bachelor's Degree in preferably public health, microbiology, epidemiology, biostatistics, biological, biomedical or chemical sciences, or a related discipline.
- 0 to 3 years of relevant experience ideally in a research, healthcare or public health-related environment
- Experience in handling research budgets and finance
- Experience in managing NMRC-awarded grants will be advantageous
- Demonstrated experience managing and executing projects independently will be advantageous
- Excellent written and oral communication skills
- Strong experience in secretariat support
- Flexibility and ability to work in a fast-paced and fluid working environment, with an ability to engage effectively with all levels of seniority
- Meticulous, detail-oriented and responsible
- Independent, organized and self-driven;
- Excellent interpersonal skills, pleasant personality with positive working and learning attitude
