Facilities Coordinator
Work Dynamics - Integrated Facilities Management

What this job involves:


Leading on-site operations
Are you a pro at giving on-site support Working with a team, youll oversee the day-to-day client activities for the assigned facility. Youll also implement facilities management procedures and performance measuresand ensure that they are always maintained. Likewise, youll boost on-site operations by promoting best practices and creating better processes. This job will also entail the question How do I ensure the safety of my colleagues You will do this by promoting adherence to health and safety standards.

Winning our clients trust
As the facilities co-ordinator, youll be working frequently with clients, so youll need to build strong relationships with them. Likewise, youll need to be proactive and engaging; and make sure that the clients expectations are met each and every time. You will also be the go-to person for any facilities-related concerns.

Keeping an eye on budget and contracts
Do you have a solid background in finance management As the person in charge, you will take care of the sites financial operations. Also part of your job is to coordinate with vendors and suppliers, and make sure that they deliver quality work practices according to the contract, and at the right cost.

Promoting teamwork across the board

Job Description
Support workplace projects, such as office moves and renovations, ensuring that they are completed on time.

Maintain accurate occupancy workstation allocation in the office versus space system.

Conduct regular headcount and space occupancy updates and to provide such report to client

Coordination of moves, adds, and changes (MAC).

Ensure compliance with health and safety regulations, such as fire safety and workplace ergonomics.

Manage the daily operations of the workplace, including managing facilities, security, and vendor relationships.

Efficiently track and update FM asset inventories; assist in the storing, disposal, and/or retrieval of FM assets

Responds to work orders and complaints promptly with accurate and thorough information according to the specific request. Assists with light duty adjustments such adjusting monitor arms, tightening screws on chairs, and crawling under desks to adjust cables. Assists with meeting set up, furniture reset, and delivering temporary equipment and supplies. May assist with temporary signage.

Maintain workplace policies and procedures, such as building access, visitor management, and emergency preparedness.

Ensure that workplace facilities are maintained and cleaned to a high standard, and that workplace equipment is in good working order.

Ensure daily work orders and feedbacks are addressed and attended to.

Supervise and maintain the work schedule of the workplace support team, including receptionist, event co-ordinator, admin co-ordinator and housekeeping staff.

Be the point of contact and maintain relationships with external stakeholders, such as building landlords and local government agencies.

Competent and goal-driven
Do you have four to six years experience in a commercial / tenancy-based office facilities environment or other related fields If so, you will be a perfect fit for the role. Likewise, an experience in managing commercial contracts and budgets may just help you land this job. Youll also need to be a goal-oriented individual whos an ace in health and safety requirements, vendor management and facilities technical systems management

Organised and analytical
Were looking for a self-motivated and quick-thinking facilities co-ordinator who can solve problems using quantitative methods and holistic approaches. Likewise, were on the lookout for well-organised leaders who plan tasks in advance and constantly stay ahead of deadlines.

Engaging and professional
A passion for excellence is what makes a great facilities co-ordinator. Well need someone who can do more than the bare minimum to meet our clients expectations. In this role, youll also be working with different kinds of people, so youll need to be an expert in handling them professionally. Likewise, youll need to effectively manage, train and inspire the team to always do better. Youll also need to take the time to listen to your people to create better work impact.

Job Requirement
Diploma and at least 3-5 years of Facilities professional experience

Strong Facilities Technical (Mechanical and Electrical) knowledge and experience;

Able to handle manual duties and perform regular facilities inspections;

Pro-active, independent, able to work with minimal supervision and perform under pressure;

Knowledge and experience in computer systems, including Microsoft Windows and Office operating systems;

Excellent verbal and written communication skills in dealing with stakeholders from diverse backgrounds (in Chinese & English)

Ability to work flexible hours, occasional weekends and evenings.
