Roles and Responsibilities
- Review wage rates as indicated in the valid Collective Bargaining Agreements and revises company scaled as required once approved by the Director, Fleet Personnel, and executive management
- Work collaboratively with Director, Fleet Personnel in developing and administering budget, forecast expenditures and funding requirements and updates executive management accordingly
- Monitor crew operating budget, provide relevant commentaries where required, and keeps Director, Fleet Personnel advised on developments for necessary action;
- Monitor department expenses, submit monthly variance reporting to Director; ensuring that all reporting employees adhere to company policies and procedures
- Assist Director, Fleet Personnel in developing measures and initiatives basis identified Fleet Personnel KPIs so results become visible in financial reporting
- Liaise under guidance for Director, with external parties for efficient crewing of vessels (including crewing partners, travel-system, and agency providers as well as other relevant parties)
- Assist in the development of key marine HR (Human Resources) initiatives under the guidance of Director, Fleet Personnel as required
- Maintain contractual relationships with global Fleet Personnel vendors and confirms that the vendor's performance is regularly monitored and evaluated.
Management Reporting:
- Participate in weekly operations leadership meetings and on cross functional teams (I.e., Commercial etc.) as required
- Oversee together with the Director, the development, and update of Crew Management performance reports; these includes defining Key Performance Areas to meet company goals and objectives
- Communicates expectations to direct reports, manages performance, and provides leadership and support to team members in a constructive, efficient, and effective way

- Understand the Health, Safety Environmental Protection and Quality Policy and the responsibilities under the Environmental Management System (EMS)
- Report any environmental noncompliance and/or concern to his/her manager or members of the senior management team (including the highest level of management) either directly or through the open reporting system as per Management System guidelines
Medical Repatriation and Claims manage:
- Define and design processes and procedures, together with the Crew Claims Advisor, to manage medical repatriation claims
- Provide guidance to the Crew Claims Advisor in measuring medical claims performance as per company defined KPIs
- Propose policy changes where required
Communications and Reporting:
- Provide guidance and direction to the Senior Fleet Personnel Assistant in coordinating Master/Chief Engineer visit to the charterers office and Setting Up for Success Program
- Liaise with different manning agents located in various countries regarding different crewing related matters, as required by the Director, Fleet Management.
- Work with the Director, enabling successful change management in a constructive and effective manner, to aid improving Fleet Personnel performance and mature the organization efficiently
- Provide support to the Director, Fleet Management in development of regional seafarer Forums and leadership conferences as required
Project Management and System Support:
- Provide Fleet Personnel project management support as required
- Provides support and user expertise for various system improvement initiatives in various platforms such as Crew Management software, Crew Communications platforms, and the like
- Perform other duties as assigned including working in other functional areas to cover absences
Requirements
- Minimum five years progressive working experience either as crewing manager in a ship management company or in Human Resources, particularly in a Generalist role.
- Ability to deliver top quartile results in a hectic and demanding environment
- Proficiency with Microsoft Office Suite (including Outlook, Word, and Excel) with advance Excel skills
- Attention to detail and a proven track-record in producing accurate, quality work
- Strong verbal and written communication skills
- Must exercise judgement and maintain consistency
- Regular international travel, may occur on short notice
- Able to work under pressure in a fast-paced environment
- Must be sufficiently mobile to join ad-hoc meetings
- Must carry a mobile device outside of office hours and check in regularly
- Must maintain a home internet connection for work outside of office hours
