Responsibilities
- Provide comprehensive administrative and secretarial support for the Medical Lead's Office and clinical leads.
- Handle tasks such as scheduling, preparing reports, drafting correspondence, organizing records, booking meetings, and supporting department projects.
- Maintain working relationships with internal and external stakeholders.
- Support scheduling and issue management for the Medical Lead and clinical leads, ensuring professionalism, accuracy, and efficiency.
- Manage the schedules of the Medical Lead and Clinical Leads, ensuring appropriate arrangements for meetings, travel, accommodation, and events.
- Prioritize inquiries and troubleshoot conflicts, making recommendations for smooth day-to-day engagements.
- Organize and coordinate meetings, workshops, and events related to hospital and clinical services planning.
- Anticipate needs for meetings and conferences, including scheduling, drafting agendas, preparing presentation materials, recording minutes, and tracking follow-ups.
- Draft routine correspondence and prepare final versions for dissemination.
- Assist with special projects, design and produce documents, reports, and presentations, and collect and prepare information for meetings.
- Handle confidential and sensitive information with discretion.
- Use judgment to escalate issues to the Medical Lead, considering sensitivities and stakeholder relationships.
- Provide hospitality to guests and create a welcoming environment.
- Work with the Medical Lead and hospital management to develop programs to engage and motivate the clinical team.
- Conduct onboarding sessions to review company policies, benefits, systems training, and set up workspaces.
- Ensure new hires complete necessary paperwork and have access to required tools and accounts.
- Work closely with the program office to organize and coordinate meetings, events, and activities.
- Provide support and coverage for the project program office when needed.
- Perform any additional tasks as assigned.
Requirements
- Minimum degree qualifications preferred.
- Experience in a similar administrative role, preferably in a healthcare setting.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Proactive, accurate, and efficient work style.
- Ability to engage and influence stakeholders at all levels.
- Proficiency in Microsoft Office Suite and other relevant tools
