Working closely with outsource partners, you will act as the first point of contact for employees on any HR & Admin related queries and you will be handling the following responsibilities
HR Function
Recruitment :
- Assist with day-to-day operations of the HR functions and duties (onboarding, offboarding, prepare HR letters including New hires Confirmation Promotion Acceptance of Resignation and Warning Letters)
- Update the outsource partner on the new hires details as well as resignees
- Manage employee records and ensure compliance with relevant regulations and internal policies.
- Update Pfile to ensure all documents are in place.
- Stay updated on relevant employment laws and regulations to ensure compliance with legal requirements.
- Register /De-register the thumb print to enable staff can clock in/out in outlets and FAB App
- Administer the filing of IR21 and IR8A tax forms, ensuring accurate tax reporting for departing employees and annual income reporting for all employees.
Payroll & Attendance:
- ensure the payroll and leave data updates are submit timely to outsource partner
- check payroll reports done by HR outsource partner before management approval for salary payment and CPF contributions
Compensation & Benefits:
- On weekly basis, after verifying the details, assist to approve the leave and claims for the staff. For urgent leave, they will follow up with leave submission and supporting document, if needed
- Work with the outsource HR partners on the Reservist/ Maternity/ Childcare/ Insurance Claims and ensure timely & accurate submissions and processing of monthly claims
- Work with the outsource company on annual leave carry forward and forfeiture
Admin Function
- Support general office administration and operations
- Monitor renewal of all company purchases and services contracts such as equipment retail outlet leasing insurance pest control software licenses etc.
- Source for new equipment
- Work with ourtsource partner to create and improvised on the existing processes
- Source for relevant course for staff to attend, course registration and arrange payment and submit grant and follow up grant status
- Stationery Ordering
- Ad hoc task to prepare outlet opening, like new outlet opening to check contractor follow up the task, epos make appt for training
- Support company /staff events eg Annual outing
- Ad-hoc or HR project follow up duties as and when assigned by the superior
What it Takes
- Minimum 2 years of HR experience
- Possess good HR knowledge and understanding of the Employment Act
- Independent and processes a high level of integrity and with an urgency of work
- Able to handle multi-task and willing to adapt the changes in a fast pace environment
- Organised and meticulous
- Good communication & interpersonal skills.
- Experience working in F&B will be an advantage.
