The candidate will have a combination of at least 4-5 years of previous HR operations and/or HR generalist experience in a fast-paced environment, be highly-detailed oriented & collaborative, and demonstrate an ability to thrive with constant change and ambiguity.
Key Responsibilities
The HR Specialist will be part of the regional HR team based in Singapore, supporting APAC HR operations functions for RPOPs
HR Operations and General HR Administration
- Take ownership of issuance of employment contracts, employment change letters, payroll/compensation related letters and reference letters to support all employee life-cycle changes (transfers, changes, promotions etc)
- Manage HR operations administrative matters, collation of data and report preparation
- Provide administrative support for annual and semi-annual compensation and performance cycles including bonus and merit paperwork
- Manage end-to-end work pass processes for foreigner, including initiating, renewing, tracking and terminating
- Take ownership of benefits, medical claims and leave data collation, tracking and administration
- Partner with payroll colleagues to provide payroll data, review data, escalate issues
- Ensure all personnel / employment documents are filed/maintained in an orderly manner
System and Reporting
- Responsible for HCM and HR systems
- Ensure all employee data are initiated, maintained, approved and updated timely for hire, termination and employee's movement
- Collaborate with Group HR to maintain near error-free data in the HR systems
- Generate accurate employment and recruitment related reports from the system, customize the reports and maintain manual tracker as needed timely. Complex spreadsheet management as needed (multiple sources, collating, tracking)
Compliance & Policies
- Maintain compliance with Korn Ferry policies and procedures
- Ensure daily HR operations are in compliance with company policies, employment regulations and laws
- Make recommendations for process improvement and policy updates as required
- Handle highly confidential information with employee documents and record keeping
Projects and Others
- Serve as point of contact and person-in-charge for general questions / HR Ops ticketing platform for the region and answer questions within 24 business hours. Follow-up on questions to ensure information was provided, issues resolved and tickets closed promptly
- Escalate all issues to relevant leader as appropriate including senior leadership
- Other duties as assigned including projects, supporting HRBP on exercises, providing back-up for other team members and assist with overflow work support for other HR colleagues
Professional Experience/Qualifications:
- Minimum estimate of at least 4/5 years HR experience
- Hands-on HRIS experiences is a must
- Strong proficiency in Microsoft Office and Excel preferred
- Knowledge of Singapore work pass end-to-end application/renewal processes preferred
- Regional HR experience is an advantage
- Demonstrated capability in strategic thinking, problem solving, and issue resolution
- Proactive, superior attention to detail, extreme organization and multi-tasking skills, with minimum supervision
- Strong written and oral communication skills
- Experience in professional services environment preferred
- Diploma / Bachelor's degree in Human Resources, Business Administration or related field required
- Able to commit full 6 months fixed term contract starting from Dec 2024.
