Essential Requirements:
- Fluent in English and Chinese (written and spoken). Spanish is a bonus!
- Minimum of 1-2 years of experience in import/export documentation and shipping practices.
- Excellent communication skills in both English and Mandarin.
- Proficient in using Excel and familiar with ERP systems (training provided).
- Positive working attitude with the initiative to learn and adapt quickly.
- Ability to work independently, demonstrating responsibility, reliability, and a strong work ethic.

Work Schedule: Monday to Friday, 9am-6pm (Saturday, Sunday, and Public Holidays as per standard)
- Location: 2 minutes walk from Farrer Park MRT (City Square Mall exit)

Job Scope & Responsibilities:*
- Assist the Director with daily tasks and coordination.
- Provide customer service by coordinating with clients via email.
- Communicate effectively with teams in China and Hong Kong using Slack, WeChat, QQ, Email, and WhatsApp.
- Coordinate with factories through QQ/WeChat and other communication tools.
- Maintain and organize files properly on the company NAS drive.
- Prepare quotation sheets for clients using Excel and ERP systems.
- Generate and manage sales orders, proforma invoices, purchase orders, and other necessary documents.
- Prepare and handle shipping documents, including booking orders, quotations, invoices, packing lists, delivery orders, and profit tables.
- Verify factory contracts, loading plans, and client instructions.
- Perform general administrative duties to support office operations.
- Enter data accurately into the company ERP system.
- Liaise with freight forwarders to ensure timely delivery of products to both local and international customers.
