The Project Administrator will be tasked to coordinate project activities, including simple tasks and larger plans. Responsibilities include preparing action plans, analyzing risks and opportunities and gathering necessary resources. For this role, he/she will work under supervision with a team of Project Managers and Workstream Leads, so good communication and collaboration skills are essential.
1. Manage and/or support common day-to-day activities across the workstreams including support and logistics of meetings and events
2. Maintain and provide guidance on project governance standards and guidelines
3. Drive deliverable management and gate closures across program
4. Support finance and procurement in invoicing and procurement if needed
5. Support project reporting in meeting coordination and preparation and minute taking
6. Drive vendor and internal delivery teams to adhere to project governance standards
7. Schedule regular meetings and record action items and decisions (e.g. assigned tasks and next steps)
8. Facilitate departments to load content on digital displays in innovation space through the use of digital content management system
9. Contribute to ideas, problem solving, and resolution of issues
1. Minimum Diploma holder
2. Experience in office administration supporting multiple directors, project administration support function and calendar management.
3. Added advantage with secretariat experience with procurement and basic accounting knowledge.
4. Meticulous in planning, strong coordination skills, good communication (written and spoken) and following thru with actions and escalation.
5. Contributes to discussions and offers thoughts, suggestions, points of views during brainstorming, problem-solving, and issue resolution.
