Essential Duties & Responsibilities
Duties are performed throughout every work day, as necessary. Duties include, but are not limited to, the following:
- Type and edit legal and other documents in accordance with timekeepers instructions including correspondence, presentations, and ensure accuracy of copy, formatting, grammar, punctuation and syntax.
- Receive, screen and transmit telephone calls, conference calls and messages to/from attorneys, clients and staff.
- Perform secretarial functions associated with Firm administrative tasks, including processing new client/matter reports, time reports and expense reports.
- Printing, binding and collation of documents for timekeepers.
- Coordinate, meetings and appointments coordinate travel arrangements (including air tickets and hotel accommodations), and prepare related budgets for internal approval and reporting.
- Provide secretarial assistance to visitors and lawyers whose secretaries are absent accept overflow work from other secretaries.
- Reception coverage on rotation basis during lunch and during absence of receptionist.
- Evening, weekend and public holiday secretary coverage on rotation basis.
Essential Knowledge, Skills and Abilities
- At least 3-4 years of legal secretarial experience at an international law firm preferred
- Strong written and oral communication skills
- Proficiency in all Microsoft Office applications (Outlook, Word, Excel and PowerPoint)
- Proficiency in Adobe Acrobat, including converting, editing, comparing and combining files
- Experience with iManage Desksite, Expert Time and Chrome River is advantageous
- Proficiency on office equipment used on a regular basis including computers, printers, copier machines, binding machines, telephones and meeting room audio visual equipment
- Familiarity with travel arrangements eg flight bookings, visa requirements and applications, and accommodation bookings
- Demonstrate strong attention to detail and produce high quality/accurate work
- Ability to work independently, multitask, take initiative, set priorities and see projects through completion.
- Strong service orientation, teamwork skills and ability to respond calmly and effectively to changing priorities
