Overview:
The Management Support Officer provides essential administrative and operational support to the management team. This role involves handling a variety of tasks that ensure the smooth functioning of the office, facilitating communication within the organization, and assisting in the execution of strategic initiatives.
Roles & Responsibilities:
- Support the Head of Department at meetings. This include notes taking, follow-up required by Head of Department after meeting and tracking progress based on guidelines provided.
- Support the administration of gifts received. This include gift processing based on a standardised guideline, update donation collected in a tracker, prepare thank you letters in a standardised template provided, donation documentation, and e-filing and updating records.
- Be responsible to keep a record of corporate gifts, merchandise items used during events and storage of Office equipment.
- Be an event support personnel for the Department. This include preparing name-tents, booking of restaurant, facilitate car parking, prepare logistics for events.
- Office management duties which includes printing and scanning documents, mailing and courier service (documents and books).
Requirements:
- Proficient in digital tools, such as MSOffice
- Good interpersonal, oral, and written communication skills.
- Merticulous and organized.
- Able to work independently and with tight deadlines, able to priotize tasks and escalate matters.
- Service-oriented mindset.
Specifications:
- Location: Instituition in the west.
- Working hours: Weekdays, Office hours. May be activated on weekends to support events, will be compensated with OIL.
