  • This position is forOffice of Corporate Communications and Marketing (OCCM).
  • Finance and Procurement
    • Maintain governance of procurement and finance policies to ensure compliance and operational efficiency.
    • Manage the procurement process, including collaborating with project managers to request proposals, facilitate tender evaluations, appoint vendors, create purchase orders (POJs), and manage contracts.
    • Reconcile invoices with corresponding purchase orders and resolve any discrepancies or issues promptly.
    • Prepare and maintain accurate and up-to-date financial records.
    • Support and prepare budget forecast reports and budget phasing reports.
  • HR and Administration
    • Manage all HR-related matters, including the recruitment, onboarding, and offboarding.
    • Organise team engagement initiatives to foster a positive working environment.
    • Maintain L&D training record and manage the welfare fund.
    • Maintain and manage the team's SharePoint site, ensuring efficient knowledge sharing and proper record-keeping.
    • Provide secretarial support, including coordinating meetings, preparing meeting notices and minutes, and disseminating documents as required.
    • Handle fixed asset management, including maintaining a list of assets, conducting biannual asset verification, and coordinating laptop replacements/updates with IITS.
    • Assist with the SMU Shop's annual stock-taking exercise.
  • Brand & Marketing
    • Provide operational support for brand and marketing-related activities, such as granting access to the brand portal and ensuring smooth brand management operations.
    • Provide support in brand compliance requests.
    • Support the OCCM's Data Protection Officer (DPO) in relation to data protection practices within the CM function.
    • Assist in events organised by OCCM (e.g., Patron's Day, PDLS, HRH, PSOUs, CD, Commencement, etc.).

Qualifications

  • Bachelor's degree in Business Administration, Marketing, or related fields.
  • At least 6 years of relevant work experience.
  • Familiar with procurement processes, contract management, and tendering procedures.
  • Good knowledge of financial management, budgeting, and reporting processes.
  • Understanding of branding and marketing principles e.g. brand consistency, content management and campaign execution.
  • Strong organisational and time-management skills.
  • Strong verbal and written communication skills to liaise with internal stakeholders (e.g. Procurement, Finance, HR, IITS) and external vendors.
  • Meticulous with good financial acumen.
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word), SharePoint, and familiarity with financial systems and procurement tools such as SAP, Prophix, Ariba, etc.
