Senior Assistant Manager/Manager - Operational Support Services

The incumbent will play a critical role in the planning and design of a new hospital, focusing on understanding user requirements, overseeing the collation and procurement of furniture, fittings, and equipment, and ensuring operational readiness for the hospital's launch. This role will involve close collaboration with architects, engineers, clinical teams, and other stakeholders to ensure that the hospital's design, space management, and operational services align with healthcare standards, functionality, and patient-centered care.

Key Responsibilities

  • Oversee the planning and design of general services, mailroom, and facilities management systems.
  • Collaborate with healthcare professionals, administrative teams, and other stakeholders to gather and document detailed user requirements for hospital spaces, general services, equipment, furniture and fittings.
  • Work with vendors, suppliers, and contractors to ensure all materials and equipment align with project timelines, quality standards, and budget requirements.
  • Working closely with ALPS Manage tenders, bids, and contract negotiations, ensuring compliance with procurement policies and hospital standards.
  • Ensure timely delivery and installation of all procured items, coordinating closely with construction and design teams.Ensure that the hospital's design meets clinical, operational, and patient care needs, while complying with healthcare regulations and standards.
  • Facilitate workshops and meetings with users to refine requirements and ensure alignment with the overall project vision.
  • Develop and implement an operational readiness plan that includes the installation, testing, and commissioning of hospital equipment, systems, and services.
  • Ensure all operational systems (electricity, water, HVAC, IT) are fully functional and aligned with healthcare regulations.
  • Plan and manage the transition from construction to operational readiness, ensuring a smooth handover to hospital staff.
  • Manage budgets for planning, design, procurement, and operational readiness, ensuring cost-effective decision-making and adherence to project financial goals.
  • Monitor project timelines, coordinating with construction and design teams to ensure that milestones are met and delays are minimized.
  • Provide regular updates to senior management and stakeholders on the progress of the hospital planning and readiness phases.

Qualifications and Skills :

  • Bachelor's degree in healthcare management, architecture, engineering, business administration, or a related field
  • 5-8+ years of experience within the healthcare sector.
  • Strong understanding of healthcare space planning, operational systems, and procurement processes.
  • Experience in hospital construction or large-scale healthcare facility projects is highly desirable
  • Excellent project management, communication, and leadership skills.
  • Knowledge of healthcare regulations, compliance standards, and facility design best practices.
  • Influential and able to inspire and persuade others across all levels of the organization, driving consensus and buy in.
  • A natural curiosity and eagerness to ask questions, explore new ideas and seek out innovative solutions.
  • Good command of the English language (spoken and written).
  • Possess strong analytical, communication, written and presentation skills. Ability to take and record accurate notes/minutes in complex meetings. Use polished communication skills both verbal and non-verbal to influence and persuade.
  • Ability to work independently and in a team and across teams with minimal supervision
  • Attention to detail, ability to prioritize workload, be well organized and multi-task in a smart and timely fashion
  • Able to work in a fast paced and dynamic work environment, quick thinker and an effective problem solver
  • Maintain 100% confidentiality, tactful, diplomatic, resourceful, and exercises independent judgment and discretion.
  • Proactive attitude and determination to ensure required outcomes are achieved, takes responsibility for own actions
