Responsibilities:
- Advise internal clients policies, ensuring events meet insurance, legal, health, and safety requirements.
- Provide cost-saving suggestions, including advocating in-office event options where feasible.
- Act as the primary liaison for clients and vendors.
- Coordinate event logistics (venue, catering, AV needs), including creating run sheets and floor plans.
- Source venues and present options based on client specifications and budgets.
- Develop, manage, and reconcile event budgets, securing approvals when needed.
- Negotiate rates and terms with suppliers.
- Oversee high-volume administrative tasks / Arrange printed materials for events.
- Manage deposits and invoices, ensuring accurate payments through coordination with the finance team in China.
- Collaborate with internal (e.g., Marketing, Legal) and external partners (AV, printing suppliers).
- Draft and distribute event communications.
- Handle RSVP management via the online event platform.
- Use tools to manage events and ensure policy compliance.
- Occasionally provide on-site support for events.
- Build strong relationships with stakeholders and vendors.
- Support internal communications with the M&E Manager and contribute ideas to improve processes.
- Work with the pan-ASEAN team to standardize processes across regions.
Qualifications
- Bachelor's Degree or Diploma/equivalent
- At least 1-3 years of event management experience preferred, especially in hotel or catering settings.
- Related experience in similar fields (e.g., event management) is beneficial
- Strong customer service orientation with professionalism and attention to detail.
- Excellent organizational, interpersonal, and communication skills.
- Ability to work both independently and as part of a team, maintaining confidentiality.
- Experience in event management, ideally in hotels or catering, with budget and financial reporting skills.
- Proficient with Microsoft applications and event tools (SharePoint, Cvent).
- Strong time management, multitasking, and problem-solving abilities.
- Knowledge of local venues and suppliers in Singapore is a plus.
