JOB SUMMARY:
Sheng Hong Arts Institute (SHAI) is seeking a dedicated and organized Office Administrator to join our team. The successful candidate will be responsible for the smooth coordination of classes, supporting enrolment processes, managing social media marketing, and handling finance-related tasks. This role requires attention to detail, excellent communication skills, and the ability to work efficiently in a fast-paced environment.
KEY RESPONSIBILITIES:
1. Class Organization:
- Coordinate and organize classes, including scheduling, room bookings, and communication with instructors and students.
- Assist in the preparation of class materials and ensure classrooms are set up appropriately.
2. Enrolment Support:
- Manage the enrolment process using the in-house system, including student registration, issuing receipts, and maintaining accurate records.
- Respond to enquiries from prospective students and parents regarding courses, fees, and enrolment procedures.
3. Social Media Marketing:
- Assist in creating and scheduling social media posts to promote SHAI's programs, events, and initiatives.
- Monitor social media channels and engage with followers to enhance the institute's online presence.
4. Finance and Administration:
- Handle daily financial transactions, including processing payments, issuing receipts, and performing daily closing procedures.
- Assist with monthly financial closing, including reconciling accounts, processing claims, and preparing financial reports.
- Maintain accurate financial records and ensure compliance with the institute's financial policies and procedures.
5. General Administrative Support:
- Provide general administrative support to the team, including answering phones, managing emails, and maintaining office supplies.
- Assist with event coordination and other duties as assigned by management.
QUALIFICATIONS:
- Minimum of a Diploma in Business Administration, Finance, or a related field.
- Previous experience in an administrative role, preferably within an educational or arts institution.
- Proficiency in Microsoft Office Suite and experience with enrolment and finance management systems.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Experience with social media marketing and content creation is an advantage.
