About the role:
We are seeking a dedicated Operations Admin professional to assist with contract management and vendor follow-ups. The ideal candidate should possess some accounting knowledge, particularly in accounts receivable/accounts payable (AR/AP) and financial budgeting.
Key responsibilities:
Provide administrative support for the Authority's ICT projects and operations, including finance-related activities such as raising cash journals, processing sales orders and invoices, and handling procurement-related documents.
Support the operation of master contracts and purchase orders, including maintaining and tracking contract and purchase order expiry dates or terminations.
Maintain the manpower resource requests and capability training processes, ensuring compliance with established procedures.
Provide operational support for manpower resource requests, interview sessions, and performance appraisals.
Conduct preliminary checks of documentation, such as CVs, invoices, and support documents.
Review monthly progress reports and supporting documents submitted by contractors.
Track the utilization of master contracts and purchase orders, and alert the contract owner or relevant officer as necessary.
Maintain complete records of manpower resource and capability training requests.
Handle security clearance for candidates.
The ideal candidate has:
Minimum GCE O-Level qualification or equivalent; higher qualifications are an advantage.
3-5 years of experience in administrative roles, particularly in contract and human resource administration or similar job scopes.
Proficient in MS Office Suite, including Word, Excel, and PowerPoint.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
Excellent communication and interpersonal skills, with the ability to liaise effectively with internal and external stakeholders.
Familiarity with financial processes, including AR/AP and budgeting.
Knowledge of the Authority's processes and protocols.
Experience in handling confidential information and maintaining data security.
