Brief Introduction of Department and Role of the Team
The National University Cancer Institute, Singapore (NCIS) is a national specialist centre under the National University Health System (NUHS). It is the only public cancer centre in Singapore treating both paediatric and adult cancers in one facility.
We are seeking a self-driven intern to be part of our incredible team, supporting NCIS ACOO and her team of Assistant Directors in the Department of Operations & Administration, to ensure efficient operation of the leadership office and the organisation. The intern will provide a full spectrum of logistical, secretarial, and administrative support. Given the dynamic nature of the executive landscape, the intern must be flexible and consistent while maintaining confidentiality of high-level systems and operations.
Job Scope and Key Responsibilities
Project Management:
- Assist in managing and coordinating key projects and initiatives.
- Track progress, meet deadlines, and proactively address any roadblocks.
- Prepare clear and concise project reports and presentations.
Communication and Collaboration:
- Provide secretarial and administrative support to NCIS ACOO, ADs, and the team.
- Draft, edit, and proofread professional correspondence, presentations, and reports.
- Liaise with other executives and team members to organize internal and external meetings and events, managing logistics and ensuring smooth execution.
Information Management:
- Implement an organized filing system for documents, reports, and records.
- Conduct research and gather information to support informed decision-making.
- Prepare and distribute meeting agendas, materials, and follow-up action items.
Office Administration:
- Develop and implement office procedures to optimize operational efficiency.
- Manage vendor contracts and track office supplies.
- Assist with departmental IT and network-related matters.
- Coordinate procurement requests and ensure adherence to company policy.
Roadshows and Engagements:
- Actively participate and volunteer in roadshows or engagements events
- Assist with invitations, catering, and other event-related tasks.
Additional Responsibilities:
- Take on additional tasks as assigned to support departmental needs.
Requirements
- Currently pursuing a Bachelor's Degree
- A positive, can-do attitude to provide outstanding service, while being respectful to others
- Exhibit professionalism by demonstrating personal accountability, effective work habits, empathy, and teamwork
- Good communication skills, command in English, and attention to detail
- Be able to adapt to changing or competing priorities, meet tight deadlines, and problem solve in a fast-paced, dynamic environment, without sacrificing quality
- Computer savvy (M365 Word, Excel, PowerPoint, Outlook, communication platforms)
- Exercise sound judgment and discretion in handling sensitive and confidential information
- Ability to handle high-pressure situations with composure and resilience
- Ability to work independently and assume additional responsibilities, as required
