We are seeking a skilled, proactive, and detail-oriented Paralegal and Executive Assistant to support the Director. This unique role combines paralegal responsibilities with executive support, ideal for a candidate who thrives in a dynamic environment and is capable of handling a wide range of legal and administrative tasks. The successful candidate will play a key role in managing the Director's legal and administrative needs to help drive company goals.
Accountabilities & Responsibilities
Legal Support:
- Conduct legal research, prepare case summaries, and draft and review legal documents including contracts, agreements, and compliance paperwork.
- Assist in preparing for meetings, hearings, and other legal proceedings.
- Manage and maintain legal files, case files, and ensure that all documentation is accurate and easily accessible.
- Liaise with external counsel and other stakeholders as necessary.
- Assist in compliance and regulatory matters, ensuring all documentation and records align with the latest legal requirements.
Personal / Executive Assistance:
- Provide direct executive support to the Director, including managing the Director's calendar, coordinating travel arrangements, and organizing meetings, including personal and family support.
- Handle email correspondence, draft communications, and prioritize and organize emails and tasks for the Director's review.
- Prepare agendas, briefing materials, and reports for the Director's internal and external meetings.
- Act as the Director's primary point of contact, managing inquiries and representing the Director in professional and courteous communications with clients and stakeholders.
- Handle confidential information with discretion and maintain the highest level of professionalism.
Administrative Management:
- Coordinate cross-departmental projects as assigned by the Director, tracking progress and ensuring deliverables are met.
- Organize and maintain a digital filing system to ensure the accessibility and security of key documents and records.
- Assist with budget management, invoicing, and tracking expenses related to corporate and personal functions.
Requirements
- Bachelor's degree in Law, Business Administration, or related field with Paralegal certification.
- At least 3 - 5 years of combined experience as a paralegal and executive assistant, supporting senior executives.
- Strong understanding of legal terminology and processes.
- Exceptional organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- High level of confidentiality and discretion.
- Proficiency in Microsoft Office, legal research tools, and case management software.
- Detail-oriented with strong problem-solving skills.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
