Personal Assistant to the Managing Director
- Filter emails, highlight urgent correspondence and print attachments.
- Verifying all company incoming emails and report to MD for instructions and endorsements
- Keep fuel surcharge and insurance security surcharge rates from different airlines updated
- Update and filling of department documents, overseas agent contact list, circulars and ocean /air freight rates, schedules from carriers and co-loaders
- Managing and ordering office suppliers and equipment
- Shipment status monitoring and permit submission
- Staff shift work roster planning
- Performs typing and general paperwork
- Sending adhoc airfreight rates emails to carriers as well as email on behalf of MD
- Liaising with office vendors to ensure fire extinguisher and printer in good working condition
- Update Known consignors list
- Liaise with Operations and Accounts on any issues that MD encounters
- Daily management of the Singapore office and all administrative issues.
- Provide administrative support such as meeting schedules, expense claims and all travel arrangements including visa applications.
- Responsible for the whole process of office relocation project such as vendor management and internal communications.
- Reviews of Contracts and rates
- Ensure that all vendors complies to agreed KPIs
- Maintains proper & neat filing system.
- Answering phonecalls
- Ensure signing of documents by Director
