Are You The One
We are looking for a dedicated PA cum Office Manager to support our CxOs in their day to day work requirements.
Job Responsibilities:
PA support to CxOs:
- Support our CxOs on calendar management, coordinate appointments, reservations, meetings and teleconferences.
- All necessary travel arrangements and ensuring to adhere to the company travel policy and budget
- Administrative support including filing of expenses claims
Office Management:
- Maintenance and upkeep of the office - Manage subcontractors on maintenance, cleaning etc and coordinate services with building management and/or landlord.
- Manage contract and performance of cleaning contractor, ensure the cleanliness of the entire office.
- To be the person supporting office renovation, relocation, refurnishing if any, including the office space allocation, etc.
- Maintain and the renewal of service agreements for office equipment.
- Supporting in welcoming guests in office, upkeep of the meeting room, pantry telephone and office supplies.
Business Ops Support
- Be the point contact for travel arrangements (flight, accommodation, transportation & Visa applications).
- Assist the Commercial Team to build a common library resource on NDAs, contracts, and use of standardized Sales Tools such as HubSpot for all countries, in order to improve operational efficiency.
- Other additional and/or ad hoc duties as assigned from time to time.
Job Requirements:
- Preferably a minimum of 3 years of experience in the areas of business travel, admin, ops or office management.
- Open to mid-career individuals
- Proven ability to communicate effectively and work cohesively within a fast and high performing team.
- Good eye for details with a hands-on and can-do attitude.
- Proven ability to work independently and meticulously in a fast-paced environment.
- Positive mind-set with the ability to work with flexibility and adaptability
- Tech savvy with a strong proficiency in MS PowerPoint and Excel skills.
- A good team-player, proactive and self-motivated.
- Possess a valid Class 3 driving license, to fulfill occasional light driving responsibilities ocassionally.
