Job Overview:
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to the Managing Director (MD). The ideal candidate will thrive in a dynamic, fast-paced environment and be capable of multitasking with accuracy and efficiency.
Key Responsibilities:
- Executive Support: Act as the primary point of contact between the MD and internal/external stakeholders, managing communication, correspondence, and information flow.
- Scheduling & Coordination: Manage and maintain the MD's calendar, coordinate meetings, appointments, and travel arrangements, ensuring all details are handled efficiently.
- Documentation & Reports: Prepare and edit correspondence, reports, presentations, and other documents as requested by the MD.
- Project Assistance: Assist with various projects and business initiatives, including preparing reports, conducting research, and coordinating with cross-functional teams.
- Meeting Preparation: Organize and prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion.
- Confidentiality & Discretion: Handle sensitive and confidential information with the utmost professionalism and discretion.
- Administrative Support: Handle office administrative tasks, including expense management, vendor coordination, and office supplies management.
Key Requirements:
- Experience: Proven experience as a Personal Assistant, Executive Assistant, or in a similar role within a fast-paced environment. Experience working in a listed company is a plus.
- Skills: Excellent organizational and time management skills with the ability to prioritize tasks effectively. Strong communication skills (both written and verbal) and proficiency in Microsoft Office Suite.
- Personality: High attention to detail, proactive approach, and ability to work independently. Strong problem-solving skills and the capacity to adapt quickly to changing priorities.
- Education: Degree in Business Administration, Secretarial Studies, or related field preferred.
