Job Posting: Personal Assistant to Sales & Operations Director- Salary range: SGD4,000 to SGD6,000
- Key Duties & Responsibilities | About the Role
- Reporting to the Head of Department for Sales & Operations, you will be exposed to a fastpace,
- dynamic & friendly working environment. This role will require you to work with various
- department heads, technology vendors and corporate customers closely. You will engage
- often with business counterparts locally and overseas. Potentially, as you grow, you may be
- promoted to a managerial role or a department head, given the career prospect layout for you.
- As the Personal Assistant, you will provide administrative/ secretarial support
- (including but not limited to):
Research, prepare & handle confidential-related matters- Maintain efficient filing system of internal, external and confidential business documents
Attend meetings and corporate events on behalf whenever required & necessary
- Organizing/ managing appointments with prospective & existing clients, including setting venues where necessary
Calendar management, agenda preparation, manage emails drafting & phone calls- Assist in responding to selective emails on behalf to vendors, business partners, supplier etc.
Prepare presentation materials only when necessary
- Professional and courteous telephone screening & liaison both internally and externally
Scheduling conference calls and video conferences, whenever necessary- Minutes taking for meetings
Follow up on due course of actions after meetings and discussions
- Greet and co-ordinate on guests and visitors
Assist in screening, filtering & hiring of candidates only for selected & key positions, working closely with the HR department- Organizing events for team bonding, team gathering session
Assist in official errands for company with collection and delivery of hand-hold items e.g. during festive seasons such as corporate gifts and deliver to key customers
- Occasionally assist in HODs personal errands e.g. bills payment, arranging appointments with associates for lunch meetings, managing personal appointments etc.
Assist in ad-hoc tasks as and when required
- Qualifications & Experience | About You
- The ideal Personal Assistant:
Min. degree Holder (in business management or related field) with 3 to 5 years of relevant working experience
- Proficient in MS office (Excel, Word, Outlook, PowerPoint)
Strong interpersonal skills, excellent oral, written and verbal communications skills- Ability to communicate effectively with business contacts via the phone, email, video and presentations
Able to assist in MS Teams & Zoom on-line-meeting to manage internal & external meetings
- Independent, resourceful & a good team player is a must
Meticulous and well-organized- Positive working attitude, trustworthy and willing to learn
Must be adaptable with fast-pace working environment
- Preferably someone with valid Singapore driving license but not a must
Adaptable to a desk-bound role in an office environment 5-days work week- Sales/Customer service relationship background is a plus
The ideal candidate will be fluent in Mandarin and comfortable speaking and translating to Chinese counterparts.
