Job Description & Requirements
The Procurement Executive is responsible for supporting the company and its projects by providing end to end service, from understanding end-user and project requirements, to sourcing for the right item at the right specifications and budget, to ensuring smooth delivery at the right time.
He/she is critical in the smooth execution of the projects within budget.
He/she should be comfortable engaging and interacting with vendors and other external parties, to fulfill his/her responsibilities in coordinating vendor selection processes, maintaining vendor contract records and databases, and following up on vendors deliverables.
Roles & Responsibilities:
- Process purchase requests, short-list vendors, perform price & product analyses and negotiate for the best terms and conditions.
- Raise and issue Purchase Orders (PO).
- Monitor PO progress and expedite deliveries.
- Coordinate technical clarifications and meetings between and vendors and end-users.
- Attend project meetings with engineering team.
- Obtain valid documentation of purchased goods such as product and material certificate, test report, type approval, etc.
- Liaise with shippers, forwarders and warehouse to coordinate/monitor shipments.
- Prepare monthly procurement cost reports.
- Liaise with finance department and vendors to settle PO and invoice discrepancies.
- Manage a price database of goods and services.
- Establish relationships with vendors and other industry players.
- Administer vendor pre-qualification and ongoing performance evaluation.
- Carry out procurement processes according to ethical procurement standards.
- Other ad-hoc duties as may be assigned.
Requirements:
- Degree/Diploma in engineering, project management, and other relevant discipline
- At least 3 years experience in purchasing, products sourcing & expediting
- Skilled in MS Office Systems
- Knowledge with SAP or any ERP is a plus
- Familiarity with Oil and Gas / Marine / Construction industries, products and vendors will be an advantage
- Team player and willing to learn
- Pleasant and good attitude
- Able to work independently and with colleagues of all levels and nationalities
- Good command of spoken and written English
- Able to start work immediately or within short notice
- Other language (spoken and written) is a bonus.
